About The Position

Vesta Wealth Partners is a Calgary-based wealth management firm offering active, passive, factor-based, and alternative investment solutions. We partner closely with clients to design optimal portfolios and deliver a consistent, high-quality service experience. We are seeking a Bilingual Client Onboarding & Servicing Associate to support both high-touch client servicing and scalable onboarding operations. This role operates across two core areas: High-touch support: partnering closely with Associate Portfolio Managers (APMs) to support the delivery of a precise, responsive experience for high-net-worth clients Scalable operations: managing structured onboarding and servicing workflows with efficiency, accuracy, and consistency Success in this role requires the ability to move seamlessly between these two environments - maintaining discipline in repeatable processes while applying sound judgment, prioritization, and adaptability in more complex situations. This position is open to candidates across Canada, with core working hours aligned to the Mountain Time zone.

Requirements

  • Bilingual in French and English
  • 3+ years of experience in wealth management, financial services, or a similar environment
  • Strong attention to detail and a high standard for accuracy
  • Proven ability to manage competing priorities in a fast-paced environment
  • Sound judgment and ability to work independently with minimal direction
  • Clear, professional written and verbal communication skills
  • Comfort working with data, systems, and evolving processes
  • Ability to balance structured, process-driven work with dynamic, high-priority requests

Responsibilities

  • Own end-to-end onboarding workflows, ensuring accuracy, completeness, and timeliness
  • Proactively move onboarding files forward and follow through on outstanding items
  • Coordinate with internal teams and custodians to ensure smooth execution
  • Support Associate Portfolio Managers (APMs) in delivering a high-quality client experience
  • Manage incoming servicing requests with urgency and sound judgment
  • Ensure all work reflects the level of care expected for high-net-worth clients
  • Process account updates, EFTs, wires, transfers, and related transactions
  • Monitor and follow up on transfers and account activity with custodians
  • Maintain accurate and up-to-date client records across systems
  • Prepare and distribute client reports and tax documents
  • Ensure deliverables are accurate, complete, and delivered on time
  • Partner closely with APMs in a high-accountability working relationship
  • Identify opportunities to improve workflows, data quality, and efficiency
  • Support automation, compliance, and operational improvement initiatives
