About The Position

The Admissions Specialist at Tulsa Educare is responsible for reviewing inquiry forms for our school and child care partners, partnering with parents to have complete paperwork, accurately determining eligibility, and partnering with the schools and child care partners to fill their open enrollment spots. Tulsa Educare is seeking an Admissions Specialist who will make the commitment to perform with integrity and model essential qualities such as attention to detail, ability to understand and follow complicated eligibility requirements, driven to work collaboratively with diverse clients and a diverse workforce, ability to effectively use an online system, qualified (and not prohibited) to work around children, and legally authorized to work in the United States.

Requirements

  • Bachelor's degree with 3-5 years of administrative assistant experience OR High School Diploma/G.E.D with 5-6 years of administrative assistant experience
  • Bilingual (Spanish/English)
  • Qualified (and not prohibited) to work around children
  • Legally authorized to work in the United States
  • Attention to detail and ability to understand and follow complicated eligibility requirements
  • Ability to effectively use an online system
  • MS Office skills
  • Database software skills
  • Organizational skills
  • Efficiency skills
  • Demonstrated commitment to completing assignments on a timely basis

Nice To Haves

  • Experience working with parents on applications involving income
  • Knowledge of Head Start Performance Standards on eligibility and enrollment requirements
  • Knowledge of ChildPlus Software

Responsibilities

  • Processing complete inquiry forms and determining eligibility
  • Talking with families about program options and partnering with them to ensure inquiry forms are complete and accurate
  • Documenting required information in our ChildPlus system and working to best use the system
  • Analyzing current enrollment, identifying enrollment needs, and regularly communicating these needs to leadership
  • Continuously improving the inquiry and eligibility process to make it easy for families and effective for the program
  • Providing prompt and courteous response to inquiries from parents and colleagues
  • Developing a waitlist system from which schools and child care partners select eligible applicants
  • Maintaining an internal transfer process for children whose families wish to change programs
  • Using discretion and confidentiality in all matters
  • Assisting with other department work as needed
  • Performing other incidental and related duties as required and assigned
