Position Summary: The Benefits Specialist is responsible for the day-to-day administration of the company's leave programs and Health & Welfare benefits. This role serves as the primary point of contact for employees navigating FMLA, state leave, disability, and workers' compensation, ensuring timely, accurate, and compliant case management. The Benefits Specialist also supports Open Enrollment, benefits eligibility processing, and employee inquiries related to medical, dental, vision, life, and disability plans. This position reports to the Benefits Manager and plays a critical operational role in delivering a seamless benefits experience. Requirements

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or related field (or equivalent experience).
  • Two to four years of benefits administration experience, with a focus on leave management and/or Health & Welfare programs.
  • Proficient in Microsoft Office Suite (Word/Excel/PowerPoint) (HR software experience is a plus)
  • Working knowledge of federal and state regulations, filing and compliance requirements including ERISA, COBRA, FMLA, ADA, Section 125 and workers’ compensation
  • Excellent written, oral and interpersonal communication skills with a customer-service orientation
  • Excellent time management skills
  • Ability to multi-task and adapt quickly to change
  • Maintain confidentiality and a high level of ethics in all matters and interactions
  • Must be a team player
  • Required to sit; climb or balance; and stoop, kneel, crouch or crawl
  • Required to regularly lift and/or move up to 10 pounds, and occasionally lift and/or move up to 25 pounds
  • Required to possess specific visons abilities, including: close vision, distance vision, color vision, peripheral vision, depth perception and capacity to adjust focus.

Responsibilities

  • Administer all leave programs, including FMLA, state-mandated leave (e.g., NJFLA, NYPFL, CFRA), parental leave, medical leave, and personal leave.
  • Review and process leave requests, determine eligibility, and issue required notices in compliance with federal and state regulations.
  • Serve as the primary liaison between employees, managers, and third-party leave administrators (if applicable).
  • Track leave balances, coordinate with Payroll for accurate pay processing, and maintain leave records in HRIS.
  • Monitor return-to-work dates and coordinate accommodations with HR and management as needed.
  • Assist with the administration of workers' compensation claims, including initial reporting, documentation, and coordination with the TPA and risk management.
  • Track claim status, communicate with injured employees, and support return-to-work planning.
  • Maintains the company’s OSHA 300A & Sharps Log
  • Process new hire enrollments, life events (e.g., marriage, birth, divorce), and terminations in the HRIS and with benefit carriers.
  • Audit eligibility files and carrier invoices to ensure accuracy and resolve discrepancies.
  • Respond to employee inquiries regarding medical, dental, vision, life, disability, FSA, and HSA plans via phone, email, and in-person.
  • Escalate complex or sensitive cases to the Senior Benefits Specialist.
  • Participate in H&W projects related to people, process and/or technology
  • Assist with the execution of annual Open Enrollment, including data preparation, employee communication, and enrollment processing.
  • Coordinate benefits orientations for new hires and conduct one-on-one benefits counseling sessions as needed.
  • Maintain the benefits intranet page and ensure materials are current and accessible.
  • Ensure all leave and benefits administration activities comply with ERISA, ACA, COBRA, HIPAA, FMLA, ADA, and applicable state laws.
  • Maintain confidential employee files and documentation in accordance with recordkeeping requirements.
  • Assist with the preparation of required notices, SPDs, and compliance reporting.
  • Serve as a liaison with leave administrators, disability carriers, and H&W vendors for routine inquiries and issue resolution.
  • Participate in vendor calls and training sessions as needed.
  • Adheres to the letter and spirit of the company Code of Conduct, the AdvaMed Code, MedTech Code, and all other company policies.
  • Ensures Compliance with applicable governmental laws, rules, and regulations, both in the United States and internationally, by completing introductory and annual training and maintaining knowledge of compliance as it applies to your role
  • Represents the company in a professional manner and uphold the highest standards of ethical business practices and socially responsible conduct in all interactions with other employees, customers, suppliers, and other third parties
