We are currently seeking a Benefits Specialist to support the administration of our employee benefits programs and help deliver a positive, responsive experience for employees across the firm. The ideal candidate is detail-oriented, service-focused, and comfortable managing benefits data, employee inquiries, vendor coordination, and enrollment processes with accuracy, professionalism, and discretion. This position can be based in Cincinnati, OH; Indianapolis, IN; or Louisville, KY.

Requirements

  • Bachelor’s degree or an equivalent combination of education and experience.
  • Minimum of 3 years of experience supporting employee benefits, enrollment and plan administration required.
  • Proficiency with ADP Workforce Now and Microsoft Office products, including Excel and Word, required.
  • Demonstrated ability to provide exceptional customer service by responding promptly to inquiries, resolving sensitive or challenging situations with professionalism, maintaining confidentiality, and following through on commitments.
  • Excellent verbal and written communication skills, including the ability to communicate effectively with diverse audiences, actively listen, respond appropriately to inquiries, and prepare clear and accurate correspondence.
  • Demonstrated professionalism, integrity, and sound judgment, with the ability to build trust, treat others with respect, and uphold organizational values.
  • Strong attention to detail and commitment to quality, with the ability to follow established procedures, complete accurate work, incorporate feedback, and identify opportunities for process improvement.

Responsibilities

  • Respond to employee questions regarding benefit programs and provide support throughout enrollment, life event changes, and related benefit processes.
  • Maintain employee and benefit data in ADP Workforce Now for HR and benefit plan transactions, including new hires, changes, and terminations.
  • Serve as a liaison to benefit plan vendors for program set-up, plan implementations, general and open enrollment processes and employee changes. Submit enrollment information to benefit plan providers through vendor files or direct communication to ensure timely processing. Coordinate annual data updates with vendors, including salary and job changes.
  • Serve as a backup resource for employee leave administration, including responding to employee inquiries, distributing and collecting required paperwork, and maintaining accurate leave-related data in firm systems.
  • Calculate and coordinate employee benefit deductions with Payroll, resolving discrepancies as needed.
  • Administer employee benefit-related programs, including commuter, parking, stipend, and other firm-sponsored arrangements.
  • Prepare monthly and annual benefit reports, including health saving account funding, compliance reporting, budget needs and year-end reporting for Finance. Produce reports on benefit enrollment, benefit deductions, and plan participation.
  • Conduct new hire benefits orientation, prepare and distribute benefit materials, and follow up with new hires to support timely enrollment completion.
  • Prepare termination letters for employees leaving the firm. Coordinate COBRA entries with vendors, ensure timely distribution of materials, and provide Finance with monthly reconciliation of COBRA payments.
  • Oversee benefit plan setup in ADP Workforce Now, coordinating with the Director of Benefits and Payroll and HRIS Administrator on changes, enrollment events and needed updates.
  • Conduct regular audits of benefit enrollments, deductions, eligibility, and HR data to support accuracy and compliance.
  • Maintain up-to-date benefit plan documents in the Benefit Document Library on the firm’s intranet.
  • Support benefits compliance efforts by maintaining accurate data, completing required reporting, and assisting with documentation.
  • Assist with coordinating firmwide wellness communications and events.
