About The Position

Air Systems is looking for a Project Coordinator to join our Building Automation Systems (BAS) team. This is a full-time position reporting to the Operations Manager. This position is responsible for assisting project teams in executing the project per contractual obligations as well as customer requirements while maintaining customer and project relationships.

Requirements

  • Minimum 2-5 Years of office environment working experience as an administrative assistance or similar duties
  • Strong knowledge of MS Office Teams including MS Windows, Excel, and Power Point
  • Strong verbal and written skills
  • Excellent teamwork, problem solving, interpersonal, organization, and customer relations skills
  • Detail orientation is required
  • Ability to interact effectively and extensively with Air Systems customers and co-workers
  • Ability to respond to common inquiries, complaints from customer ,and handle conflict
  • Ability to understand empathetically the issues and perceptions others have and to creatively and successfully work through these issues to achieve a successful outcome and customer and employee satisfaction
  • Ability to handle and prioritize multiple tasks and work in a fast-paced environment
  • Creative use of skills and resources to get the job done and have a strong awareness of Air Systems culture and the culture of the industry in which we work

Nice To Haves

  • Construction administration or coordination experience is preferred
  • Basic accounting skills is desirable
  • Experience in construction industry highly desirable

Responsibilities

  • Support the administrative team in processing job booking requests.
  • Maintain CRM, project management, or ERP system records
  • Support internal initiatives and process improvement efforts
  • Assist in scheduling both sales & field turnover meetings.
  • Assemble booking packages including contracts/PO’s for approval.
  • Maintain log for project RFI’s and change orders.
  • Maintain server file structure including Microsoft Teams channel.
  • Communicate with peer project coordinator when appropriate to facilitate communications and project deadlines.
  • Maintain plan & spec tracker including bid requests from GC/MC
  • Assist sales with project bookings and change orders, in Salesforce, once job number is available.
  • Generate monthly billing logs and submit billings via ERP.
  • Request certificates of insurance (COI) from San Jose.
