About The Position

Bromwich+Smith is looking for a detail-oriented and dependable Banking Specialist to support the accurate administration of client trust accounts and estate payments. In this role, you will process payments deposited into client estates, maintain trust-account records, complete reconciliations, and help ensure banking activities remain accurate, balanced, and compliant. You will work with sensitive financial information and support clients who may be experiencing stressful or difficult circumstances. The Banking Specialist works closely with Licensed Insolvency Trustees, Financial Wellness Partners, Client Services teams, Finance, banking partners, creditors, and other stakeholders. Success in this position requires strong attention to detail, sound judgment, empathy, and the ability to identify and resolve discrepancies promptly. This opportunity is well suited to someone who enjoys structured financial work, solving problems, collaborating with others, and taking ownership of tasks from beginning to completion.

Requirements

  • Experience in banking, accounting, finance, trust accounting, payment processing, insolvency administration, or a related financial-services role.
  • Strong attention to detail and a high level of accuracy when working with financial information.
  • Experience processing payments, completing reconciliations, reviewing transactions, or investigating discrepancies.
  • Strong critical-thinking and problem-solving skills.

  • Experience with trust accounts, the Bankruptcy and Insolvency Act, Office of the Superintendent of Bankruptcy requirements, or insolvency administration would be considered an asset.

Responsibilities

  • Administer Trust Accounts and Estate Payments: Assign and maintain trust accounts with BMO and within B+S’s insolvency platform, Insolv. Process daily deposits, including online payments, pre-authorized payments, post-dated cheques, and cash. Record and manage trust-account receipts, disbursements, reconciliations, and manual journal entries. Review incoming cheques and invoices and assign them to the appropriate estates. Coordinate the timely preparation and issuance of cheques. Maintain complete and accurate banking records in accordance with B+S procedures and documentation standards. Review banking information for accuracy and identify missing, incorrect, or inconsistent information. Support trust accounting, treasury oversight, and financial reporting activities. Ensure trust accounts remain balanced and discrepancies are addressed promptly.
  • Support Compliance and Financial Accuracy: Verify information in accordance with the Bankruptcy and Insolvency Act, Office of the Superintendent of Bankruptcy requirements, banking directives, and internal procedures. Handle trust funds ethically, accurately, and responsibly. Monitor accounts and transactions for potential errors or compliance concerns. Investigate payment discrepancies, account imbalances, returned payments, and other banking issues. Complete necessary adjustments and journal entries with appropriate documentation and approval. Escalate significant concerns or risks to the Team Lead, Manager, or Chief Financial Officer when required. Stay informed about changes to banking directives, regulatory requirements, and internal processes that may affect the department.
  • Communicate and Collaborate: Coordinate with Licensed Insolvency Trustees to review and sign cheques. Work with Financial Wellness Partners and Client Services teams to provide information about payment amounts, schedules, missed payments, and non-sufficient funds. Respond to banking-related questions from employees, clients, creditors, suppliers, banks, Finance, the Office of the Superintendent of Bankruptcy, and the courts. Confirm payment details and provide updates regarding the movement of funds to and from B+S. Coordinate regular cheque runs with internal teams. Complete daily banking tasks requested by Financial Wellness Partners. Follow up with internal and external stakeholders until issues and outstanding tasks are resolved. Communicate difficult or sensitive financial information in a respectful, clear, and compassionate manner.
  • Improve Banking Processes: Identify recurring issues, inefficiencies, or opportunities to improve banking processes. Recommend practical improvements while maintaining accounting and compliance requirements. Support improvements to documentation, workflows, controls, and reporting. Work collaboratively across departments to ensure banking tasks are completed accurately and on time.
