About The Position

The Backup Administrative Coordinator provides support for the store's administrative and operational functions by assisting with payroll, scheduling, hiring processes, reporting, recordkeeping, and communication activities. This position serves as a backup to the Administrative Coordinator and helps ensure accurate, timely, and efficient execution of administrative responsibilities while supporting store leadership and associates.

Requirements

  • High school diploma or equivalent required.
  • Strong organizational, communication, and multitasking skills.
  • Proficiency with Microsoft Office and related computer applications.
  • Ability to handle confidential information with discretion and professionalism.

Nice To Haves

  • Previous administrative, office, retail, or customer service experience preferred.
  • Experience with payroll, scheduling, hiring, or workforce management systems preferred.

Responsibilities

  • Provide administrative support to store leadership and department teams.
  • Assist with employee file maintenance, documentation, and record retention.
  • Prepare, organize, and maintain reports, schedules, and store communications.
  • Ensure administrative tasks are completed accurately and within required timeframes.
  • Maintain confidentiality of employee, payroll, and business information.
  • Support office organization and supply management.
  • Assist with payroll processing and timekeeping administration.
  • Review timecards and identify discrepancies for correction.
  • Support scheduling processes and workforce management activities.
  • Maintain attendance and scheduling records as required.
  • Assist employees with payroll and scheduling questions.
  • Support recruitment and hiring activities.
  • Assist with interview scheduling and candidate communications.
  • Facilitate onboarding processes for new hires.
  • Ensure completion and accuracy of required employment documentation.
  • Assist with orientation and training administration.
  • Prepare and distribute store communications, notices, and reports.
  • Maintain personnel, training, and compliance records.
  • Support leadership with data entry and reporting requirements.
  • Ensure documentation is accurate, organized, and accessible.
  • Assist with special projects and administrative initiatives.
  • Ensure compliance with company policies, labor requirements, and recordkeeping standards.
  • Support audit preparation and documentation requests.
  • Assist with maintaining workplace safety, training, and compliance records.
  • Identify administrative issues and communicate concerns to store leadership.
  • Support operational goals through effective administrative execution.
