About The Position

The AVP, Senior Loan Administrator is responsible for the timely processing of loan transactions from application through funding and closing. This role supports all loan parties and performs duties related to the collection and review of due diligence and the closing and funding of loans. Performs all duties in accordance with the Company’s policies and procedures, all U.S. state and federal laws and regulations, wherein the Company operates.

Requirements

  • Minimum of six years of commercial loan administration and financial services experience, including loan documentation preparation, loan closing, and loan funding.
  • Proficient understanding of the documentation required for borrowing entities and the ability to assess whether legal documents include all terms and conditions appropriate for the approved credit product.
  • Proficiency in nCino and Salesforce.
  • Current knowledge of real estate, construction, Commercial and Industrial, entertainment, specialty lending, asset-based lending, and syndicated lending loans.
  • Knowledge of branch functions associated with loan origination, processing, and closing.
  • Knowledge of applicable state and federal banking regulations and laws, including Regulation Z, Regulation B, the Fair Housing Act, Home Mortgage Disclosure Act, Real Estate Settlement Procedures Act, Fair Credit Reporting Act, Bank Secrecy Act, USA PATRIOT Act, Anti-Money Laundering requirements, Customer Identification Program, Right to Financial Privacy Act, and Community Reinvestment Act.
  • Ability to exercise discretion and independent judgment with a moderate impact on the immediate work unit and cross-functional departments.
  • Ability to make conclusive recommendations based on independent analysis.
  • Proficient knowledge of title policies, related loan regulations, and Bank lending policies.
  • Intermediate knowledge of commercial insurance terminology, forms, and Bank requirements.
  • Proficient computer skills, including Microsoft Word, Excel, PowerPoint, and Outlook.
  • Intermediate math skills, including calculating interest and percentages, balancing accounts, performing calculations using whole numbers, common fractions, and decimals, locating routine mathematical errors, computing rates, ratios, and percentages, and drafting and interpreting bar graphs.
  • Effective organizational and time-management skills.
  • Exceptional oral, written, and interpersonal communication skills.
  • Ability to make decisions that have a moderate impact on the immediate work unit and cross-functional departments.

Responsibilities

  • Audit loan files prepared for funding and boarding to verify completeness and confirm that Bank requirements and guidelines have been met and appropriate documentation has been provided.
  • Analyze prepared balancing sheets when assistance is needed and coordinate estimated funding amounts with escrow, including prepaid interest for escrow transactions.
  • Request funding and boarding after satisfactory completion of funding and boarding file reviews.
  • Collaborate closely with clients, Relationship Managers, and other loan team members to manage expectations and ensure timely loan closings.
  • Handle complex loans, including transactions involving outside legal documentation and correspondence, syndications, participations, and specialized lending.
  • Perform pre-funding validation of the internal SOX control related to loan origination funding.
  • Review loan files and packages to ensure all documentation required for each transaction is included.
  • Analyze transaction types and determine the due diligence items and legal documents required to support accurate closings and compliance with Bank and regulatory requirements and procedures.
  • Identify open items promptly and work with the appropriate parties to collect the necessary documentation.
  • Manage and update the open-items list as documentation is received and reviewed.
  • Coordinate insurance requirements with customers, insurance brokers, and Relationship Managers to ensure proper insurance documentation is collected in a timely manner.
  • Order flood certifications and complete applicable Company and regulatory requirements, including sending and receiving borrower flood notices for properties located in flood zones.
  • Complete flood calculators and review evidence of insurance to confirm that appropriate coverage is in place and complies with Bank and regulatory requirements.
  • May perform final reviews of flood calculators, flood determinations, and flood insurance requirements for accuracy and compliance with National Flood Insurance Program guidelines and Bank policy.
  • Order preliminary or pro forma title reports, exceptions, plotted easements, and surveys, when applicable.
  • Identify potential title issues, discuss the appropriate course of action with the Title Officer and Underwriter, and request revisions directly from the title company as needed.
  • Order third-party collateral reports, including appraisals, environmental reports, and transaction screen assessment reports, as needed.
  • Review third-party collateral reports for potential issues and order additional reports as dictated by the findings or conclusions.
  • Open escrow and title as needed, coordinate loan closings, and verify the accuracy of escrow settlements before funding and closing.
  • Review and validate entity structures and organizational documents to verify management and control.
  • Obtain additional documentation supporting the review of entity documents, including certificates of good standing, statements of information, and trust certifications for applicable parties.
  • Prepare lender instruction letters when escrow is involved.
  • Complete loan closing and funding packages, including preparing balancing sheets, wires, and final checklists evidencing completion of pre-funding review requirements.
  • Submit completed loan packages for boarding.
  • Assist with the perfection of collateral, including filing UCC-1 financing statements and ordering tax service contracts, as needed.
  • Complete post-closing follow-up, including obtaining title policies and endorsements, recorded deeds of trust, and other collateral or trailing documentation.
  • Ensure appropriate Bank-controlled accounts are opened by the applicable business unit and required holds are placed on the accounts.
  • Respond to inquiries from customers, Relationship Managers, and interdepartmental personnel regarding loan closing status.
  • Work closely with outside counsel to maintain closing checklists, participate in loan-closing calls, and follow up regularly with clients to ensure checklist items are received in a timely manner.
  • Monitor the loan pipeline and track progress by updating the nCino Loan Administration Workflow report as needed.
  • Track good-faith deposits and rate-lock expiration dates and request that Relationship Managers obtain extensions as necessary.
  • Request payoff demands from existing lenders.
  • Process withdrawn and declined transactions, including preparing balancing spreadsheets for refunds and preparing and sending adverse action letters when applicable.
  • Ensure all final documents and due diligence materials are saved in the Bank’s official document repository.
  • Cross-train junior Loan Administrators and provide backup support to the Loan Administration team as needed.
  • Maintain specialized knowledge of loan boarding functions, terminology, policies, and procedures.
  • Perform due diligence requirements for commercial loan purchases as needed.
  • Perform other duties and projects as assigned.
