About The Position

Portledge School is seeking a dynamic, full-time, 12-month Auxiliary Programs Director to oversee our established after-school programs and to design and launch a new Summer enrichment program. This role combines the day-to-day management of After School Ed Programming and the After 3:30 pm Club with the strategic opportunity to build a Summer program from the ground up — from concept and curriculum to staffing, enrollment, and operations. The Auxiliary Programs Director also oversees our Educational Event rentals and reports directly to the Controller.

Requirements

  • 3-5 years of experience in auxiliary programs, after-school programming, summer programming, or related program management
  • Experience managing instructional and care-oriented staff required
  • Experience managing budgets, tracking revenue/expenses, and reporting to Controller, CFO or equivalent
  • Experience with internal controls and compliance oversight for third-party vendors and contracted service providers
  • Excellent interpersonal skills and strong ability to build and maintain relationships with all constituents.
  • Comfortable in a fast-paced environment and managing multiple demands/projects.
  • Experience and knowledge of Google Suite and Blackbaud
  • CPR, First Aid, and NYS Mandated Reporter certification required

Responsibilities

  • Oversee and develop all auxiliary programs — After School Programs, Rentals/Educational Events, and Summer Programming — including scheduling, staffing, and on-site supervision
  • Build daily, quarterly, and annual schedules, coordinating with other school events to manage conflicts
  • Manage program budgets, billing, and revenue/expense accuracy in collaboration with the Controller and CFO; ensure profitability and sustainability of all programs
  • Supervise auxiliary program staff with regular in-person monitoring
  • Propose and implement new programs and improvements
  • Partner with Communications on marketing materials and PR for auxiliary events
  • Ensure compliance with applicable licensing, supervision, and safety regulations
  • Serve as the primary point of contact for participating families
  • Oversee the "After 3:30 pm Club" (Lower School) and "After School Ed Programming" (Chess, Dance, etc.)
  • Design daily activity schedules (outdoor play, structured/unstructured play, snacks, homework support) with staff
  • Provide supervision coverage as needed
  • Market, plan, and coordinate on-site educational events and rentals — seasonal (e.g., coach/athletic rentals) and one-time (e.g., private clinics)
  • Coordinate with the Director of Facilities on maintenance, rentals, and event logistics
  • Design and launch a new Summer enrichment program, including concept, themes, and weekly curriculum
  • Develop the operating budget, enrollment projections, and pricing with the Controller and CFO
  • Build marketing/enrollment strategy with Communications and Admissions
  • Establish operating procedures, schedules, and safety/supervision protocols
  • Maintain flexible availability through most of the summer to oversee operations
