About The Position

Our team at Joseph Volkswagen is hiring for a Warranty Administrator / Phone Appointment Coordinator. Joseph Automotive has been selling and servicing vehicles in the Cincinnati, Northern Kentucky, Columbus, and Dayton Ohio areas for many years. Requirements

  • High School Diploma / College experience preferred.
  • Strong understanding of automotive parts and repairs.
  • High attention to detail with reading and comprehension.
  • Must be able to work on various computer systems to be successful.
  • Complete all required VW and Joseph VW training.
  • Interested candidates must possess a valid driver's license and have a satisfactory driving record.

Nice To Haves

  • Previous dealership service department experience preferred but will fully train the right individual.

Responsibilities

  • Learn and become a subject matter expert with warranty claim submissions.
  • Become proficient with the VW Hub, WISE, Elsa, Technical Service Bulletins, warranty resources, and training opportunities.
  • Ensure warranty claims have the correct parts, labor, rental, sublet, and Condition / Cause / Remedy (CCR) lines.
  • Submit warranty claims within a 72-hour window per Volkswagen performance metrics.
  • Be proactive with providing required supporting documentation such as pictures / sublet documents.
  • Ensure claims on the Warranty Parts Portal (WPP) do not fall to debit. If so, get with Management and file an appeal within the allotted time frame.
  • Advise Management when fundamental issues are discovered. This includes parts on the incorrect labor line, improper CCR, improper Technician time punch times, customer signatures missing, rental car invoice errors, rental VW notification not performed, etc.
  • Make Outbound Phone Calls for Various Lists: No show appointments from the prior day, VW Carefree Maintenance, Safety Recalls / Declined Safety Recalls, Service Due Now, Customer retention list, Declined repairs / maintenance, Survey Follow-up – as necessary, Special order part(s) arrivals – as necessary.
  • Answer over-flow inbound Service phone calls.
