We are seeking a detail-oriented Automotive Biller / Title Clerk to join our team. This role is responsible for processing vehicle deals and preparing the necessary legal and tax documents for the Department of Motor Vehicles (DMV).

Requirements

  • High school diploma or GED required.
  • Minimum one year of clerical office experience; automotive dealership experience preferred but not required.
  • Strong telephone and typing skills.
  • Excellent documentation and organizational skills.
  • Good verbal and written communication skills.
  • Dependable with strong attention to detail.

Responsibilities

  • Process registration for all new and used vehicles according to state regulations.
  • Utilize the Computerized Vehicle Registration (CVR) system for purchases.
  • Prepare and submit tax, title, and legal transfer documents to the DMV.
  • Verify collection of funds and lienholder payments before title processing.
  • Ensure accuracy and completeness of all applications and documentation.
  • Prepare payoff checks for vehicles and trade-ins.
  • Manage dealer trades and prepare Certificates of Origin.
  • Maintain verification systems for out-of-state titles.
  • Track and report outstanding title work to management and comptroller monthly.
  • Authorize title sign-over for wholesalers once payments are complete.
  • Create and maintain stock cards and vehicle sales/purchases postings.
  • Process and track vehicle warranties and extended service contracts.
  • Coordinate yearly renewal of dealer tags alongside the comptroller.
  • Stay informed on title regulations through seminars and training.
  • Cross-train staff and conduct training sessions for F&I managers and sales personnel on title procedures and updates.
  • Supervise daily routines of the title runner.
  • Prepare invoices, credit memorandums, and post transactions accurately to accounting systems.
  • Perform additional tasks as assigned.
