About The Position

Auto Body Shop Administrator / Estimator Position Summary Responsible for supporting daily operations of the body shop office, including writing estimates, processing parts orders, receiving parts, managing purchase orders, and assisting in administrative workflow. This role requires strong organizational skills, attention to detail, and the ability to work efficiently in a fast-paced collision repair environment. Primary Responsibilities Estimating & Repair Documentation Write accurate repair estimates using approved estimating software (CCC, Mitchell, etc.) Review repair plans with technicians and management Upload photos and required documentation to insurance portals Communicate with insurance adjusters as needed Update repair files and ensure complete documentation Maintain organized digital and physical job files Parts & Purchase Order Management Create and issue purchase orders for parts and materials Receive, verify, and check in parts deliveries Inspect parts for damage, correctness, and completeness Match parts to repair orders and stage appropriately Process parts returns and core returns Track backorders and follow up with vendors Reconcile vendor invoices with purchase orders Front Office & Administrative Duties Answer phones and assist customers professionally Schedule estimates and repair appointments Collect customer information and insurance details Assist with check-in and vehicle delivery paperwork Maintain daily production board / repair status updates Support AR/AP processes as directed File, scan, and maintain organized records Perform data entry and maintain accurate system records

Requirements

  • Working knowledge of the body repair methods.
  • Strong interpersonal and persuasive selling skills.
  • Valid Driver’s License with clean MVR
  • Ability to pass a background and drug test
  • 3-5 years of auto body estimator experience highly preferred
  • CCC One, Mitchell & Audatex software usage
  • Above average computer skills

Nice To Haves

  • I -CAR Certificate of advanced training, preferred
