About The Position

The Auto Alert Specialist is a dedicated, results-driven role focused on maximizing the dealership's use of the Auto Alert platform to identify, engage, and convert in-market customers into showroom appointments and vehicle sales. This position sits at the intersection of data-driven marketing and proactive customer outreach — turning Auto Alert's equity mining, service drive conquest, and portfolio management alerts into real opportunities for the sales team. The Auto Alert Specialist is responsible for managing the full lifecycle of Auto Alert-generated leads: monitoring incoming alerts, prioritizing high-value opportunities, reaching out to customers via phone, text, and email, and coordinating with sales consultants to ensure every lead is properly handled and tracked through the CRM. This role requires someone who is both analytically minded and an excellent communicator — comfortable reading customer data and just as comfortable having a natural, consultative conversation with a customer about their vehicle options. Success in this role directly contributes to increased sales volume, improved customer retention, and higher ROI on the dealership's Auto Alert subscription.

Requirements

  • High school diploma or equivalent required.
  • Minimum 1–2 years of experience in automotive sales, BDC, or customer outreach.
  • Prior experience using Auto Alert, or comparable equity mining / portfolio management tools (e.g., DealerSocket Equity Mining, Mastermind, CarFunnel) strongly preferred.
  • Familiarity with automotive CRM systems (VinSolutions, DealerSocket, Tekion, or similar) required.
  • Experience in a high-volume outbound call or lead management environment a plus.
  • Strong verbal communication skills — confident, friendly, and consultative on the phone and via text.
  • Ability to read and interpret customer data and equity reports to prioritize outreach.
  • Basic understanding of automotive financing, leasing, and trade-in concepts.
  • Self-motivated with strong time management skills and the ability to work through a high volume of leads efficiently.
  • Detail-oriented — accurate CRM documentation is a non-negotiable expectation of this role.
  • Comfortable with technology platforms and able to learn new tools quickly.
  • Team player who communicates clearly with sales consultants, service advisors, and management.
  • Valid driver's license with a clean driving record.

Responsibilities

  • Log in to the Auto Alert platform daily and review all incoming alerts including equity alerts, lease/finance maturity alerts, service-to-sales alerts, and portfolio management notifications.
  • Prioritize and segment alerts by urgency, opportunity type, and customer profile (e.g., high equity, approaching end of term, recent service visit).
  • Maintain a clean, organized alert queue — ensuring no opportunity ages past established response time thresholds.
  • Monitor campaign performance dashboards within Auto Alert and flag trends or drops in engagement to management.
  • Work with the BDC Manager or GSM to configure and update Auto Alert campaign settings, filters, and alert thresholds as needed.
  • Contact customers generated by Auto Alert alerts via outbound phone calls, personalized text messages, and email communications.
  • Present compelling, consultative vehicle upgrade and trade-in opportunities tailored to each customer's current vehicle, equity position, and financing status.
  • Communicate the value of upgrading, trading in, or refinancing in clear, customer-friendly language — without pressure tactics.
  • Identify and address customer objections professionally, escalating to a sales consultant when the customer is ready to move forward.
  • Maintain a minimum daily outreach activity quota as defined by management (calls, texts, emails).
  • Coordinate with the service department to follow up on customers flagged during a service visit as potential sales candidates.
  • Set showroom appointments for customers who express interest in upgrading their vehicle or exploring their equity position.
  • Confirm all appointments with a reminder call or text 24 hours in advance and log confirmation in the CRM.
  • Brief the sales consultant before the appointment with key details: customer vehicle, equity, current payment, alert type, and conversation notes.
  • Follow up on all no-show appointments within 24 hours to reschedule.
  • Track appointment set rates, show rates, and close rates sourced from Auto Alert outreach.
  • Log all Auto Alert activity — every outreach attempt, conversation, and outcome — accurately and promptly in the dealership's CRM (e.g., VinSolutions, DealerSocket, Tekion, or similar).
  • Ensure Auto Alert customer records sync correctly with the CRM and flag any data discrepancies to management.
  • Create and maintain up-to-date customer profiles, documenting vehicle history, contact preferences, and engagement history.
  • Tag, categorize, and assign leads within the CRM per dealership workflow standards.
  • Ensure all outreach activity is compliant with TCPA regulations and dealership communication policies.
  • Review and analyze customer portfolio data surfaced by Auto Alert to identify the highest-priority trade-in and upgrade opportunities.
  • Understand basic finance and lease concepts including equity positions, residual values, money factors, APR, and remaining term to have informed conversations with customers.
  • Work with the Finance or Desk Manager to generate preliminary trade-in value estimates and payment scenarios for high-priority customers prior to outreach.
  • Identify customers who are upside down on their loan and develop appropriate messaging strategies (lease options, cash-back programs, manufacturer incentives).
  • Flag customers with repeated service visits or high mileage as potential candidates for early upgrade programs.
  • Monitor service-to-sales alerts generated when existing customers bring their vehicle in for service and Auto Alert flags an upgrade opportunity.
  • Coordinate with Service Advisors and the Service BDC (if applicable) to identify and greet service customers who are prime upgrade candidates.
  • Reach out to conquest prospects identified by Auto Alert as in-market shoppers from competing brands or nearby markets.
  • Support targeted marketing campaigns by executing outreach to specific customer segments identified through Auto Alert campaign tools.
  • Prepare and submit daily and weekly activity reports detailing alerts worked, outreach attempts, appointments set, shows, and closed deals attributed to Auto Alert.
  • Participate in regular performance reviews with BDC Manager or GSM to assess results and adjust outreach strategies.
  • Maintain a personal performance scorecard and work toward continuous improvement on key metrics.
  • Share best practices and successful scripts or approaches with BDC teammates.
