About The Position

Under the direction of the department Leader(s), the Authorization Coordinator performs a variety of duties related to the authorization and recertification of insurance for the patients of the Urology Clinic and their physicians and also performs a variety of general office duties to assist the staff of the Urology Clinic. Must be able to work normal/scheduled working hours to include Holidays, call-backs, weeknights, weekends, and on-call. Agrees to participate, as directed, in emergencies and community disasters during scheduled and unscheduled hours. As a designated disaster service worker you are required to assist in times of need pursuant to the California Emergency Services Act. (Gov’t. Code §§ 3100, 3102) Needs to recognize that they have an affirmative duty and responsibility for reporting perceived misconduct, including actual or potential violations of laws, regulations, policies, procedures, or this organization’s standards/code of conduct. The employee shall work well under pressure, meet multiple and sometimes competing deadlines; and the incumbent shall at all times demonstrate cooperative behavior with colleagues and supervisors. Administrative Support is accountable for the day to day operations of making sure the center runs smoothly, via phone messages, faxes to physicians and staff, database entry, billing entries etc.

Requirements

  • High school graduate or equivalent.
  • Bilingual in English/Spanish.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Must be able to use Microsoft Outlook, Word, PowerPoint, and Excel, as well as web-based database programs and the Internet.

Nice To Haves

  • Experience in a medical office preferred.

Responsibilities

  • Answers phone, greet customers, route calls to appropriate staff.
  • Obtains insurance information from customers, obtain insurance verification for services.
  • Coordinates Patient Ancillary Testing with other hospital departments.
  • Enters patient charges and verify charges, reconcile charges as directed.
  • Assembles new patient charts, maintains and files existing patient charts, "spot check" charts for data completeness and signatures.
  • Data entry into proprietary database and data entry into hospital data systems (patient registration) as directed. Audit data entry and generate reports as directed.
  • Maintains office equipment and maintains office supplies, (orders as appropriate).
