About The Position

The Audiology Associate at the VEI plays a vital role in supporting the day-to-day operations of The Hearing Center. This position requires a highly organized, detail-oriented, and customer-focused individual who can manage administrative, clinical, and financial tasks related to hearing care services. The Audiology Associate also plays a key role in ensuring patients receive timely, professional, and compassionate care from their initial contact through ongoing follow-up.

Requirements

  • Previous experience in a clinical, healthcare, or medical office setting.
  • Strong computer skills and proficiency in office software; experience with EMRs (e.g., eClinicalWorks), Suno, and NOAH preferred.
  • Excellent communication, organizational, and multitasking skills.
  • Ability to work independently and collaboratively with clinical and administrative teams.

Nice To Haves

  • Prior experience in audiology, ENT, or related hearing health services.
  • Familiarity with insurance billing, prior authorizations, and coding.
  • Customer service or sales experience, especially in a healthcare or retail environment.

Responsibilities

  • Send and receive packages and manage all incoming/outgoing faxes.
  • Send appointment confirmations
  • Schedule appointments for audiologists using Healow.
  • Manage incoming and outgoing referrals, faxes, and medical records.
  • Work all online submissions and inquiries via MDProspects.
  • Assist with special events and projects (e.g., patient mailers for hearing aid events).
  • Attach audiograms to patient charts in eClinicalWorks (ECW).
  • Respond to online hearing test submissions (Shoebox), maintain database, and follow up with patients for appointments.
  • Collect payments both in person and over the phone.
  • Create hearing aid purchase agreements and insurance documentation for patient reimbursement, including accurate CPT and DX codes.
  • Process prior authorizations for insurance (specifically Anthem FEP and others as needed).
  • Input and track all purchase orders and receipts in Envi, including GL coding, line items, invoice matching, and receiving.
  • Monitor, manage, and reorder inventory and stock.
  • Place orders for hearing aids, supplies, and tools as needed.
  • Assemble hearing aid devices for upcoming fittings.
  • Manage and track warranties, including sending renewal notifications to patients.
  • Perform routine hearing aid maintenance, including cleanings and wax guard changes
  • Assist patients with Bluetooth pairing difficulties.
  • Assist with cleaning of clinical tools and equipment, including the Earigator, forceps, curettes, and other instruments.
  • Input and maintain device documentation (serial numbers, warranties, invoices, etc.) in Suno (hearing aid management software) and NOAH (testing software).
