About The Position

The Attendance/Lunch Clerk is responsible for managing student attendance records, processing related documentation, and supporting student nutrition programs. This role ensures accurate data entry, communication with parents and staff, and compliance with relevant regulations. The position also involves providing clerical support and maintaining office files.

Requirements

  • High School GED or Diploma
  • Minimum of 2 years clerical experience is preferred.

Responsibilities

  • Ensures teachers take school attendance in the school database as described in the SST SCHOOLS manual.
  • Reviews campus school attendance summary reports and makes corrections as needed.
  • Enters "late in and early out" student data into the school attendance database.
  • Enters excuse information into the H-SIMS database after receiving required papers.
  • Documents excuse papers in a separate binder for audit purposes.
  • Documents reconciliation papers in a separate binder for audit purposes.
  • Notifies parents when a student returns from an absence without an excuse or has been absent for three or more days.
  • Calls parents of absent students each day.
  • Communicates with the Special Education and ESL Department Chairs concerning the attendance of students receiving special education services.
  • Keeps enrolling and withdrawing student logs on the H-SIMS.
  • Verifies that computer records are accurate.
  • Mails warning notices (Truancy letters) to parents if a student is absent without excuse for three (3) days or parts of days in a four-week period.
  • Determines students with excessive absences on a regular basis.
  • Submits attendance referrals to the campus administrator for review and completion before filing court cases.
  • Files court cases against the student's parent, the student, or both, if a student is absent without an excuse for 10 days or parts of days in a six-month period.
  • Processes Student Eligibility applications and completes verification in accordance with USDA regulations.
  • Monitors student lunch accounts and notifies households of negative balances via phone calls and letters.
  • Reviews meal service production records daily, reporting any discrepancies to the supervisor.
  • Operates Point of Service during lunch periods, ensuring each student selects a reimbursable meal.
  • Maintains appropriate documentation for students requesting Special Dietary Accommodations, in accordance with USDA protocol.
  • Operates the After School Snack Program, distributing reimbursable snacks and maintaining appropriate documentation (if applicable).
  • Participates in the Local School Wellness Policy, including collecting and maintaining documentation, assessing completion of policy goals, publicizing updates, and other related activities.
  • Daily recording of meal counts and revenue.
  • Operates the Child Nutrition Program in compliance with all local, state, and federal laws.
  • Attends TDA Education Service Center Child Nutrition trainings as required.
  • Provides clerical support to one or more supervisors.
  • Maintains general office and departmental files, following up on misplaced, misdirected, or misfiled materials.
  • Performs other job-related duties as assigned.
