About The Position

The Athletic Office Manager is responsible for a wide range of administrative and logistical tasks to support the athletic department. This role involves managing schedules, ensuring student-athlete compliance, assisting with coach onboarding, handling financial processes, and serving as a key point of contact for communication and public relations. The position also includes various compliance tasks and event coordination.

Requirements

  • Associate’s degree required.
  • Minimum of 2 to 3 years of office management or administrative experience.
  • High proficiency in Microsoft Office (Excel, Word), Google Workspace, and specialized school management software or athletic scheduling platforms.
  • Familiarity with state athletic association rules (e.g., OHSAA in Ohio, CIF, etc.).
  • Understanding of student privacy laws (FERPA).
  • Exceptional organizational abilities.
  • Capacity to manage sensitive and confidential information.
  • Strong communication skills to de-escalate parent or visitor concerns.

Nice To Haves

  • Bachelor’s degree in Sports Management, Business Administration, or a related field.
  • Experience within an educational or athletic setting.

Responsibilities

  • Coordinate master athletic calendars, schedule game officials/umpires, and arrange transportation for away games.
  • Organize, review, and maintain all required athlete participation paperwork, including physical forms, insurance records, and emergency contacts.
  • Monitor student-athletes' academic performance to verify school attendance requirements and grade-period eligibility.
  • Assist the Athletic Director in hiring and onboarding coaches, including tracking compliance to ensure all required certifications (e.g., CPR, Concussion Training, Fundamentals of Coaching) are active before student contact.
  • Process purchase orders, handle ticket sales inventories, manage athletic department budgets, and prepare event reconciliation and game reports.
  • Serve as the main point of contact for parents, students, vendors, and other schools.
  • Maintain the athletic website, publish team rosters, and create game programs.
  • Assist with organizing special programs such as team photo days, awards banquets, and seasonal sports registrations.
  • Verify student transfer eligibility.
  • Manage digital rosters.
  • Support signing days and alumni events.
  • Manage incident logs.
  • Manage facility rentals.
  • Conduct inventory audits.
  • Manage gate receipts and pay sports officials.
