The Planner/Scheduler position is responsible for the effective execution of all maintenance work control processes. This role works directly with Technical/Maintenance/Operations Manager(s) & Technicians to ensure efficient and effective use of SAP-Plant Maintenance for planning and scheduling resources for maintenance activities, aiming for minimum downtime and maximum productivity. The Planner/Scheduler manages Compliance and Preventative Maintenance work, develops weekly technician schedules, defines parts, materials, crafts, and skills, and engages resources to manage and close out Corrective Work Orders. They utilize the SAP Plant Maintenance system to review, prioritize, and schedule maintenance work, negotiate downtime with operations, appropriate materials, and coordinate critical inspections for regulatory compliance. Additionally, this role provides equipment-related expertise and technical guidance for improving Preventive Maintenance activities.

Requirements

  • Bachelor's degree or equivalent experience
  • 0-6 years of relevant work experience (for Associate Specialist/Analyst level)
  • Mechanical/electrical background is necessary.

Nice To Haves

  • Associate or bachelor’s degree & 5+ years SAP Plant Maintenance Experience.
  • Preferred experience in SAP Plant Maintenance.
  • Apprenticeship program or technical school background is desirable.
  • Solid computer skills – Excel, Word, Power point, etc.

Responsibilities

  • Prioritize, plan, schedule, and follow-up on the accuracy of job plans for all planned (DOT, PM and Corrective) work, focusing on optimizing workforce productivity and minimizing downtime by managing work one week or more in advance.
  • Serve as the principal contact and liaison between the maintenance department and operations planning to ensure professional maintenance service and high equipment availability.
  • Review all planned work requests for assigned areas to determine validity and accuracy, and engage appropriate resources to set a preliminary priority.
  • Review work requests for accuracy and clarity, including scope of work, completion date, lead times, equipment identification, charge number, and authorization, discussing details with the originator.
  • Work with Project Managers and Engineering Firms to acquire and load new Functional Locations and Equipment into SAP.
  • Escalate issues to the Technical Supervisor for high priority or compliance-related work.
  • Approach all work with safety as the highest priority.
  • Manage the status of work control and backlog from work order submission to completion (e.g., waiting for planning, waiting parts, ready to schedule, scheduled).
  • Verify availability of all materials, information, tools, and labor before scheduling.
  • Work with Maintenance leads, supervisors, and planners to determine resource availability and level the workforce.
  • Develop a preliminary workforce schedule by technician, ensuring all skill requirements and resource availability are met.
  • Actively participate in scheduling meetings with operations partners to finalize work order priorities, minimize downtime windows, and establish necessary lead times.
  • Finalize the Maintenance resource schedule based on the agreed plan with production.
  • Follow up and communicate the schedule to all resources, including maintenance, production, outside services, stores, and engineering.
  • Manage the completion of the Work Order backlog.
  • Maintain accurate metrics on planning and scheduling performance and provide timely reports to customers and the Preventative Maintenance Manager.
  • Create and submit DOT, PM, and Corrective Work Order Backlog Reports to District management on a weekly basis.
