About The Position

The American Heart Association has an excellent opportunity for an Associate Research and Grant Administrator, Research Operations. This is a full-time temporary position through November 30, 2026, with the possibility of extension. The Associate Research and Grant Administrator, Research Operations, will ensure the continuous development of all American Heart Association business activities related to sustaining and expanding the Awardee Engagement alumni program. The position works across American Heart Association departments to implement strategies and facilitate the exchange of information between all stakeholders, keeping projects moving through the pipeline to execution. It coordinates all budgets and workflow based on program goals, timelines, and key performance indicators. This position will also develop creative, clearly written material in support of the organization's communications strategies. Requirements

  • Bachelor’s Degree in Science, Healthcare Administration, Statistics, Marketing, Communications, or related area of study OR equivalent work experience
  • Experience in alumni, customer or donor engagement
  • Experience with and understanding of scientific research programs
  • Sophisticated planning, scheduling, and volunteer leadership skills
  • Proven ability to prepare accurate written and presentation communications
  • Strong attention to detail
  • Proficient in Microsoft Office applications

  • Experience in both pre-award and post-award processes
  • Experience working with databases and electronic reporting tools

Responsibilities

  • Work with the American Heart Association Data Warehouse and third-party vendors to ensure integrity in Awardee data.
  • Augment and execute a plan to build engagement in targeted alumni activities, assess progress, and propose new incentives and techniques to increase engagement.
  • Track Awardee engagement and volunteer activity.
  • Create a calendar of communication topics.
  • Use LinkedIn tools to increase engagement (surveys, pop-up polls, conversation starters, etc.) and establish LinkedIn badge goals.
  • Confer with paid consultant.
  • Work with the American Heart Association Science Marketing and Communications team to develop a brand strategy for Awardee engagement and a public relations campaign to recognize new Awardees.
  • Maintain a robust social media presence through the alumni network’s LinkedIn group and other American Heart Association accounts.
  • Contribute content to the monthly Research e-newsletter to drive engagement and highlight alumni resources.
  • Lead regular update meetings with American Heart Association team members, key volunteers, and senior management to keep all stakeholders updated on progress and impact of the Awardee Engagement Program.
  • Ensure high-quality, accurate, and engaging content by supporting writing, editing, and fact-checking processes while utilizing data analytics to optimize performance.
  • Coordinate the development, integration, format design, and release of content from writers and designers.
  • Support the creation of high-quality content, which may include blog posts, whitepapers, webinars, videos, and more.
  • Support the implementation of a content calendar, ensuring timely and consistent content delivery. Coordinate with internal teams and external partners to manage content production schedules.
  • Responsible for providing coordination and administrative support for pre-award activities, including support for application processes and peer review within the American Heart Association research enterprise.
  • Edits critiques within assigned peer review committees.
  • Assist with updating surveys, training materials, and other applications and peer review documents as needed.
  • Perform other duties as required or assigned, which are reasonably within the scope and responsibility of the job level and family.
