About The Position

The Associate will support MI Health by providing administrative expertise, coordinating operational processes, supporting cross-cutting programmatic activities, and overseeing office management duties. Core responsibilities of the person in this position will be to support operations and programmatic activities by providing a variety of administrative, logistical, coordination, and event planning assistance. Requirements

  • A proactive and detail-oriented professional with prior experience supporting senior managers required.
  • Represent the Milken Institute well to external parties, including senior executives, with a sincere level of professional courtesy and tact. Having a calm, collected demeanor is crucial for the high level of multi-tasking and coordination involved.
  • Detail-oriented and flexible problem solver. Can synthesize diverse streams of information and switch comfortably between academic and real-world thinking. Strong writer and communicator with ability to clearly convey key themes and ideas to a variety of audiences.
  • The ideal candidate will be eager to take on new responsibilities and challenges. We are looking for someone who is a systematic thinker and fast learner, even with minimal supervision. The ability to effectively prioritize and respond promptly to internal and external communications is essential.
  • Effective oral and written communication skills; proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); customer-relationship management (Salesforce) and/or expense management (SAP Concur) experience a plus.
  • Flexible, proactive, and comfortable with ambiguity. Comfortable with proposing an approach upfront while constantly refining along the way.
  • Collaborate well with multidisciplinary teams, comfortable taking initiative when necessary as well as following directions.
  • Bachelor’s degree required, 3-5 years of related experience
  • Experience conducting, analyzing, and synthesizing literature reviews across a range of health-related topics
  • Interest in or familiarity with one or more of the Milken Institute Health portfolio areas, initiatives, and relevant stakeholders
  • High competence with technology and/or experience with the Microsoft Office Suite (including Microsoft Office 365 and Teams)
  • Able to work independently, meet deadlines, and is proactive
  • Strong communication and organization skills
  • Strong critical thinking and analytical skills

Responsibilities

  • Provide logistical and administrative support to leaders driving MI Health cross-cutting initiatives and their programmatic activities.
  • Conduct research on topics that relate to cross-cutting programmatic areas and priorities.
  • Synthesize findings to inform initial drafts of presentations, summaries, reports, papers, etc.
  • Assist with Milken Institute Health US and international events, including by providing administrative, coordination, and logistical support.
  • Provide programmatic support for events, including maintaining invitee lists and bios for participants in stakeholder workshops and roundtables and managing email communications.
  • Draft and format, with guidance, information for internal and external communication, including emails, reports, and short PowerPoint presentations.
  • Coordinate, with guidance, operational activities and tasks across MI Health related to staff and leadership meetings, MI Health events, and standard operating procedures.
  • Take and distribute meeting notes, tracking action items and following up on deliverables.
  • Maintain shared files, distribution lists, and documentation in SharePoint and Teams.
  • Support and monitor MI Health office needs, including taking inventory, ordering supplies, and maintaining the organization of shared spaces.
  • Coordinate domestic and international travel arrangements and prepare associated expense reports.
  • Interact positively with all levels of an organization, including a desire and ability to support multiple team members.
  • Other duties as assigned.
