About The Position

United Therapeutics (Nasdaq: UTHR) is seeking an Associate Medical Affairs Operations Manager to manage the operational elements of research and medical education grants funded by Global Medical Affairs (GMA). This role involves serving as the system administrator and primary point of contact for grant requestors and reviewers. The position is also responsible for operational event planning and execution for medical functions, including compliance approvals, venue sourcing, and material production. This role provides Medical Affairs operational support through the creation, management, and optimization of trackers connecting activities and resource allocation to objectives, including budget oversight of project-based work. The Associate Medical Affairs Operations Manager will monitor the progress of Medical Affairs projects towards corporate objectives through process management and reporting of strategy. They will create, manage, and optimize workflows and trackers for multistakeholder reporting related to project status and budget utilization, partner with the GMA Analytics lead to visualize activity data, and support budget oversight and forecasting for project-based work in collaboration with Finance. Additionally, the role drives the execution of Medical events, manages the operational elements of the educational grants program, and serves as Super Administrator for the grants and sponsorships portal. The position also drives independent project management for small to medium-scale initiatives and supports the development and oversight of the GMA departmental budget. The ideal candidate will identify and execute process optimization opportunities across the department and maintain basic strategic, product, and disease state knowledge associated with therapeutic areas under study.

Requirements

  • Bachelor’s Degree in scientific or related discipline preferred
  • 5+ years of experience coordinating and managing programs
  • Life sciences industry experience in Medical Affairs
  • Experience working with Grants and Sponsorships portals (VisionTracker, iEnvision, or similar)
  • Excellent communication and organization skills
  • Attention to detail in reviewing documentation
  • Ability to multi task and adjust to an ever-changing environment
  • Ability to work independently and efficiently to meet deadlines
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Microsoft SharePoint and Veeva experience
  • Project management software experience (SmartSheet, MS Project, or similar)
  • Operates with a sense of urgency
  • Highly collaborative and openly communicates barriers and challenges to stakeholders
  • Ability to travel up to 25%, as needed for meetings/conferences, events

Responsibilities

  • Create, manage, and optimize workflows and trackers for multistakeholder reporting related to project status and budget utilization
  • Partner with the GMA Analytics lead to visualize the activity data presented within the tracker
  • Support (Provide) budget oversight and forecasting for project-based work in collaboration with Finance
  • Drive execution of Medical events, including contracted dinners, receptions, auxiliary events, internal meetings, and consultant activities
  • Venue sourcing and contracting for events
  • Internal approval of events and associated documentation
  • Create, manage, and optimize the shared calendar and event trackers
  • Production of event documents, including briefing books and after-action reviews
  • Manage the operational elements of the educational grants program (medical education grants and patient financial assistance charity grants) at United Therapeutics
  • Serve as Grants Administrator on the Grants Review Committee (GRC) for the review of all requests in concert with voting GRC members (VP of GMA, Compliance designee, and Legal designee) and non-voting reviewers (Medical and Patient Advocacy)
  • Plan and manage monthly GRC meetings, including associated material preparation and follow-up activities
  • Track and report program progress in concert with the Medical Reviewer and Patient Advocacy reviewers
  • Oversee the budget for the grants and sponsorships program, including regular forecasting and reconciliation
  • In partnership with Finance (SSHCP team), process all grants in accordance with related policies and SOPs to ensure audit readiness
  • Manage and serve as Super Administrator for the grants and sponsorships portal (Cyber Grants); responsible for system configuration (including required updates and data migrations), user training, user permissions, and training material development
  • Drive independent project management for small to medium-scale initiatives (such as software implementation, the Patient Voices Program, etc.)
  • Develop project plans, timelines, and trackers to establish clear milestones and accountability
  • Facilitate project meetings, including agenda development, cross-functional alignment, and follow-up on action items
  • Monitor project progress against scope, timeline, and budget, escalating risks and issues as appropriate
  • Support development and oversight of the GMA departmental budget, including reconciliation, forecasting, and tracking of expenditures in collaboration with the head of BCOE, GMA budget managers, Finance, Accounts Payable, Compliance, and Legal
  • Identify and execute process optimization opportunities across the department, including workflow improvements, system enhancements, and operational efficiencies
  • Maintain basic strategic, product, and disease state knowledge associated with therapeutic areas under study
