About The Position

Performs intermediate skilled clerical work performing a variety of secretarial and clerical tasks in an office environment; does related work as required.

Requirements

  • Thorough knowledge of standard office procedures and protocol
  • Ability to operate multi-line telephone system
  • Ability to speak clearly and to understand and follow written and oral directions
  • Ability to operate standard office and personal computer equipment
  • Good keyboarding skills in word processing, data entry and typing
  • Ability to type accurately and at a reasonable rate of speed
  • Ability to effectively manage multiple tasks simultaneously
  • Good interpersonal communication skills with ability to handle difficult situations/individuals
  • Any combination of education and experience equivalent to graduation from high school
  • Previous clerical and office experience

  • Understanding of public education administrative organization preferred

Responsibilities

  • Serving as secretary to a supervisor
  • Greeting visitors and answering telephone, providing information
  • Preparing and maintaining files and records
  • Serving as receptionist
  • Answering telephone, providing program information, taking and dispatching messages
  • Interviewing visitors and referring to proper authority for disposition
  • Responding to inquiries about programs, qualifications, test requirements, procedures and policies
  • Typing general correspondence, memorandum, reports, schedules, contracts, purchase orders and other materials from rough draft, copy, marginal notes or verbal instruction
  • Maintaining appointment calendar, scheduling appointments and meetings
  • Checking and reviewing a variety of data for accuracy, completeness and conformance to established standards and procedures
  • Collecting and preparing data for records and reports
  • Maintaining computerized records and generating appropriate reports
  • Making arithmetical calculations
  • Requisitioning supplies and materials for department
  • Maintaining text book lists, mailing lists, files and card indexes
  • Operating standard office, word processing and data processing equipment
  • Performing related tasks as required
