About The Position

The Associate Documentation Specialist will be responsible for preparing and coordinating commercial equipment finance and lease documentation packages. This role requires ensuring compliance with company policies, regulatory requirements, and investor guidelines, all while meeting established service level expectations. The specialist will review transaction documentation for accuracy and completeness, partner with internal teams to facilitate deal flow, and communicate with external stakeholders to resolve issues. Additionally, the role involves coordinating transaction closings and funding, maintaining accurate records, and supporting continuous improvement initiatives within documentation workflows.

Requirements

  • General knowledge of documentation requirements and legal documents related to commercial lending and equipment finance transactions.
  • Experience reviewing documentation for accuracy, completeness, and funding readiness.
  • Ability to interpret transaction structures and support documentation and funding requirements.
  • Proficiency in learning and utilizing multiple systems and software platforms related to documentation and funding processes.
  • Basic mathematical and financial calculation skills.
  • Strong attention to detail with a high degree of accuracy and accountability.
  • Ability to manage multiple priorities and transactions in a fast-paced, high-volume environment.
  • Strong organizational and time management skills.
  • Critical thinking and problem-solving capabilities.
  • Ability to collaborate effectively with legal counsel, sales, credit, and operations teams.

Responsibilities

  • Prepare and coordinate commercial equipment finance and lease documentation packages in compliance with company policies, regulatory requirements, and investor guidelines within established service level expectations.
  • Review transaction documentation for accuracy, completeness, and funding readiness while ensuring all required conditions and supporting documents are obtained.
  • Partner with internal teams including sales, credit, and operations to support efficient deal flow and timely transaction processing.
  • Communicate with customers, vendors, brokers, legal counsel, and internal stakeholders to resolve documentation issues, respond to inquiries, and obtain additional information as needed.
  • Coordinate transaction closings and funding activities, including preparation of final documentation, calculation of closing amounts, and funding disbursements.
  • Maintain accurate records and documentation within company systems while ensuring a high level of organization and attention to detail.
  • Support continuous improvement efforts by identifying opportunities to enhance documentation workflows, accuracy, and operational efficiency.
