About The Position

The University of Notre Dame Graduate School plays a vital role in supporting graduate programs and ensuring that Notre Dame graduate students contribute positively to the world. This role is crucial for managing graduate student financial support, developing financial plans, modeling initiatives, and reporting for the Graduate School and Colleges. The Associate Director will act as a key liaison with University finance departments, overseeing daily financial operations, budgeting, and accounting for the Graduate School, and collaborating with the Director of Operations and Administration on financial planning and reviews. The position includes supervising the Financial Analyst.

Requirements

  • Bachelor's degree in business, finance, or accounting required.
  • 3-4 years of experience managing complex budgets.
  • Strong verbal and written communication skills.
  • Ability to convey complex financial issues in simple but accurate terms.
  • Attention to detail.
  • Proven ability to research issues and problems, identify possible remedies, and facilitate the implementation of preferred solutions.
  • Ability to develop financial reports and dashboards and provide analysis of financial impact of various decisions.
  • Strong ethical standards and ability to work with sensitive / confidential information.
  • Ability to work with multiple and diverse leaders across the division and University.
  • Ability to manage multiple projects and priorities.
  • Proficiency with MS Office products, Google suite, and various budgeting and financial tools, and ability to learn new systems.
  • Understanding of the mission and values of a Catholic University founded by the Congregation of Holy Cross.

Nice To Haves

  • Advanced degree is preferred.
  • Experience with University budgeting and financial tools (Business Objects, Financial Compass, Tableau, GLez, TravelND, etc).

Responsibilities

  • Manage graduate student financial support, including developing annual spending plans for stipends, modeling new initiatives, and reporting.
  • Serve as a point of contact and resource for all aspects of student financial support.
  • Oversee day-to-day financial operations of the Graduate School.
  • Facilitate budgeting, finance, and accounting for the Graduate School, serving as the point of contact to University finance departments.
  • Work with the Director of Operations and Administration on budget and spending reviews and financial planning.
  • Supervise the Financial Analyst.
  • Partner with the Dean of the Graduate School, Financial Analyst, and Associate Deans in the Colleges to develop financial models for graduate student support.
  • Facilitate the execution of financial plans and serve as a point of contact for departments regarding financial models.
  • Provide financial reporting to various partners across the University.
  • Serve as a liaison to graduate programs, aiding in the implementation of student support aspects like job initiation, finance system setup, and student healthcare.
  • Develop annual operating budgets for restricted accounts supporting stipends.
  • Track stipend budgets and related restricted accounts throughout the academic year.
  • Review and model tuition revenue sharing data.
  • Help develop and execute long-range financial planning in support of department priorities.
  • Lead the annual budget planning process and prepare the annual Budget Working Group presentation.
  • Monitor the budget-to-actual performance of all Graduate School budgets.
  • Design and maintain financial dashboards and executive summary reports for leadership.
  • Oversee the management of all restricted and unrestricted funds within the Graduate School.
  • Review and process prospective contracts.
  • Participate in and supply analysis to the annual determination of the fringe rate for graduate students.
  • Sit on advisory committees to review contracts for student health insurance.
  • Provide new-hire and semi-annual stipend processing training and updates for College department staff.
  • Support the Financial Analyst during peak activity.
  • Represent the Graduate School on University-wide committees, project teams, and working groups related to financial projects.
  • Document processes.
  • Engage in process improvement.
  • Conduct benchmarking.
  • Implement software programs.
  • Perform other duties as assigned.
