About The Position

The Associate Director of Finance Operations plays a critical role in ensuring the accuracy, integrity, and effectiveness of Prospect Schools’ financial operations. This role functions as both an analytical lead and an operational partner, bridging financial data management, compliance, and day to day financial processes across the central office, school based teams, and accounting partners. The ideal candidate brings strong analytical judgment, exceptional attention to detail, and a service oriented mindset. They will operate with a degree of autonomy, serving as a thought partner to the Director of Finance while ensuring financial processes are executed efficiently, accurately, and in compliance with internal policies and external requirements.

Requirements

  • Bachelor’s degree in Finance, Accounting, Business Administration, or related field preferred.
  • 3 - 6 years of experience in financial operations, accounting, or financial analysis preferably within a non-profit or education environment.
  • Experience with Sage Intacct or similar ERP systems strongly preferred.
  • Intermediate to advanced Excel skills required.
  • Analytical Thinking: Ability to interpret financial data, identify trends, and communicate insights clearly.
  • Technical Skills: Proficient in financial systems, particularly Sage Intacct, and strong Excel capabilities.
  • Organization: Strong project management and time management skills with the ability to manage competing priorities.
  • Customer Service: Approachable, responsive, and solution-oriented.
  • Attention to Detail: Committed to accuracy, consistency and data integrity in all work.

Responsibilities

  • Conduct initial and ongoing reviews of monthly financial statements including variance analysis, root cause investigation, and trend identification.
  • Monitor PTSO financial activity and prepare summary reports.
  • Compile data and support the development of dashboards, variance analyses, and ad hoc financial reports.
  • Oversee requisitions, purchase orders, invoices, and vendor records in Sage Intacct, ensuring adherence to internal controls and timelines.
  • Process bank deposits and manage check printing as needed.
  • Prepare supporting schedules, data pulls, and analyses for school, and all related entity budgets.
  • Support budget v. actual reviews by preparing variance explanations and trend analysis.
  • Assist the Director of Finance with financial forecasting, scenario modeling, and reporting.
  • Coordinate and track audit requests with external partners, ensuring timely and accurate responses and documentation.
  • Maintain audit schedules and supporting documentation to support ongoing audit readiness.
  • Prepare compliance data and reports for grant, lender and regulatory reporting as required.
  • Support in ensuring adherence to Financial Policies and Procedures (FPP).
  • Serve as the primary point of contact for finance-related questions from school based staff.
  • Provide Level 1 support for Sage system issues, credit card management, and vendor inquiries, escalating complex or policy related matters as appropriate.
  • Support the development of guidance and documentation to promote consistent finance practices across schools.
