About The Position

The Associate Client Manager is a client-facing role that supports Advisors, Client Executives, Client Managers, and clients by completing various tasks common in day-to-day Personal Lines insurance servicing. Prompt, accurate, and professional handling of requests, both internally and directly for the client, will ensure clients receive the best possible experience.

Requirements

  • Strong written, presentation, interpersonal, organizational, time management, and oral communication skills.
  • Strong sense of urgency, attention to detail and follow-thru, results-oriented nature, ability to multi-task, ability to work at a fast pace, and ability to prioritize frequently throughout the day.
  • Proficient in the use of Microsoft Word, Excel, Outlook and PowerPoint.
  • Ability to make decisions that are limited to a few options with minimal room for discretion.
  • Ability to solve problems that are relatively simple in nature, requiring some analysis or research to determine the best solution from a limited number of prescribed options.
  • Proficient in technology and the use of data management software, including ability to organize and sort through data presented in various forms. Accurate entry of data and supporting documentation into the software a must.
  • Willingness to take on additional responsibility as the need arises.

  • Proactive participation in continuing education classes.
  • 1-2 years of industry experience in a similar position beneficial, but experience not required.

Responsibilities

  • Oversee the daily download and resolve download suspense items.
  • Initiate and track policy changes from carriers; update client records in Epic and ensure timely follow up.
  • Retrieve and organize documents from carrier website and attach to the appropriate client within Epic.
  • Issue and distribute certificates of insurance and auto ID cards.
  • Request MVRs, CLUE reports and loss history from vendor websites or insurance carriers.
  • Prepare and validate renewal reviews for accuracy and completeness.
  • Manage direct bill cancellation notices, confirm payment status, and escalate as needed.
  • Maintain proactive communication with clients, teammates, and carrier partners.
  • Serve as a primary contact for all routine client inquiries, policy updates, and claim support.
  • Process incoming mail; resolve direct bill issues, including mortgagee updates.
  • Assist in preparing proposals and program analyses.
  • Prepare lost policy releases, obtain signatures from client, send to carrier, and follow up for cancellation endorsement.
  • Distribute policies to clients as needed.
  • Maintain accurate client data in Epic.
  • Participate in ongoing training and stay informed of industry developments.
  • Attend and participate in department meetings as well as other meetings as directed.
  • Additional duties as assigned.
