About The Position

CUNY’s Office of Library Services (OLS) seeks a highly motivated, thoughtful, and detail-oriented individual to serve as our Outreach & Processing Associate Archivist on the Cultivating Archives and Institutional Memory Project, funded by the Mellon Foundation. The individual in this role will support the discoverability and use of CUNY’s archival collections online, in the classroom, and in public settings through collaboration with CUNY archivists and faculty. They will play a crucial technical role in helping implement and build-out a CUNY-wide instance of ArchivesSpace shared across its consistent campuses and research centers. They may also process and digitize archival collections, as well as support and shape archival outreach efforts across the CUNY system. The Associate Archivist for Collection Management will report directly to the Outreach & Processing Archivist, under the direction of the University Archivist, and will work at least two days/week out of the Office of Library Services’ offices at 555 W. 57th Street in Manhattan. This is a benefits-eligible, part-time position, working 20 hours per week. Application period closes on March 6th with online interviews the week of March 9th. The expected start date for this position is March 30th, lasting through the end of August 2026, with opportunity for reappointment through the end of February 2027.

Requirements

  • Must be enrolled in CUNY Queens College’s Graduate School for Library and Information Studies (GSLIS) or have graduated from GSLIS within the past two years (Spring 2024 or more recent). Current students or recent graduates of the GSLIS Archives Certificate program preferred.
  • Coursework or professional experience in archives
  • Strong writing and organizational skills
  • Must be eligible to work for the CUNY Research Foundation (not already employed by the Research Foundation and able to work legally in US)

Nice To Haves

  • Strong experience with/willingness to learn ArchivesSpace. Background learning new systems or troubleshooting systems helpful.
  • Experience writing user documentation
  • Experience with JSTOR, Academic Commons, Wikidata/Wikipedia, and LibApps helpful
  • Experience processing archival collections
  • Basic understanding of archival preservation and conservation issues/concerns
  • Basic experience with archival digitization and description
  • Comfortable using spreadsheets
  • Experience or interest in creating archival outreach materials or teaching with primary sources
  • Creative, team player willing to be flexible and try new things

Responsibilities

  • Support the implementation of a Shared CUNY ArchivesSpace instance
  • Catalog legacy finding aids, complete metadata clean-up, and help establish an ArchivesSpace presence for each CUNY archives
  • Write and edit ArchivesSpace user documentation
  • Support projects underway to incorporate Wikidata into CUNY Shared ArchivesSpace
  • Support ArchivesSpace training activities for CUNY archivists
  • Assist OLS with ArchivesSpace governance and technical support, as needed
  • Support and creatively shape archival outreach efforts, specifically projects and activities aimed at increasing use of archives in classrooms
  • Process and digitize high-priority collections, writing descriptive metadata in ArchivesSpace and JSTOR Digital Stewardship platform, as needed
  • Represent the project in professional presentations and writing
  • Occasional travel to CUNY archives for research visits and meetings
  • Other duties as assigned
