About The Position

The Metropolitan Museum of Art (The Met) is seeking an Associate Administrator to support its large and vital membership program. The Met presents over 5,000 years of art from around the world and is committed to fostering a collaborative and respectful work environment. The membership program is one of the largest in the world, with over 140,000 members contributing significantly to the museum's annual revenue. This role will work closely with the Chief Membership Officer (CMO) to expand and improve the membership program, involving all aspects of its operation. The Associate Administrator will provide administrative support to the CMO, serve as a project manager for special projects, manage daily office operations, and handle complex and confidential tasks. This position requires interaction with internal and external stakeholders and thrives in a fast-paced environment.

Requirements

  • Bachelor’s degree required.
  • 2 - 4 years administrative office, business, or related experience.
  • Experience with or passion for museums or cultural organizations.
  • Highly organized with the ability to manage multiple priorities and competing deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, and a work product that exhibits a high degree of detail and accuracy.
  • Exceptional interpersonal and customer services skills.
  • Demonstrated experience working independently to resolve discretionary problems and prioritize needs in a thoughtful strategic manner.
  • Successful project management and coordination experience.
  • Basic math aptitude.
  • Available to work occasional evenings for events or deadlines as needed.
  • Proficient in Microsoft Office suite (Outlook, Word, Excel, Share Point and Power Point).
  • Ability to handle the physical demands of working in a modern office environment.

  • Knowledge of art history preferred.

Responsibilities

  • Maintain a strong understanding of the various functions and activities of the Membership team and any projects related to the Chief Membership Officer (CMO) in order to increase the CMO’s efficiency and effectiveness.
  • Facilitate CMO's efficiency by tracking projects, document review, and commitments to ensure continued progress, consistent follow-through, and timely completion.
  • Provide strategic management, oversight, and support of the CMO’s calendar to ensure all necessary meetings are scheduled and sufficient time is allocated to complete projects and prepare for upcoming meetings and events.
  • Ensure agendas, bios, timelines, etc. are prepared by relevant staff members in Membership and received by the CMO in a timely manner in advance of all meetings and events.
  • Serve as project manager for special projects, and ensure projects are moving forward.
  • Serve as point of contact for staff and other individuals who wish to reach the CMO; on behalf of the CMO, prioritize requests, and handle sensitive and confidential information.
  • Use Tessitura CRM system to access member information, enter contact reports for the Chief Membership Officer, and create member bios.
  • Serve as the Procurement Ambassador for the Membership Department, managing requisitions, purchase orders, invoices, and payments; ordering office supplies; and serving as liaison with the Procurement Department.
  • Work with the finance manager on the Membership Department's annual expense budget process and other budget-related projects.
  • Serve as culture ambassador for Membership team, coordinating team meetings, retreats, and gatherings.
  • Attend and provide support for Membership events, typically on weekday evenings.
  • Help facilitate onboarding for new Membership employees.
  • Other duties as assigned.
