Requirements

  • 1-2 years of professional experience required; experience within fashion, beauty, entertainment, media, or talent representation is strongly preferred.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to interact confidently and professionally with a diverse range of individuals via phone, email, and in person.
  • Exceptional organizational and time management skills, with the ability to prioritize multiple competing demands.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Experience supporting senior-level executives or business leaders preferred.
  • A proactive mindset with the ability to anticipate needs and stay ahead in a fast-moving environment.
  • Strong problem-solving skills and the ability to remain poised under pressure while meeting tight deadlines.
  • Demonstrated interest in fashion, beauty, media, entertainment, and talent representation.
  • Proficiency with Microsoft Office Suite, Google Workspace, and calendar management tools preferred.

Responsibilities

  • Professionally manage and prioritize incoming calls, emails, and correspondence.
  • Serve as a primary point of contact for artists, maintaining consistent communication and supporting day-to-day booking needs.
  • Prepare estimates, deal memos, and other booking-related documentation.
  • Manage and update artist calendars, including option holds, bookings, and scheduling changes.
  • Oversee billing processes and support the timely wrapping and reconciliation of jobs.
  • Coordinate and manage travel arrangements and itineraries for the manager as needed.
  • Maintain and coordinate schedules for both artists and assistants, particularly during peak periods such as awards and show seasons.
  • Assist with the execution and tracking of special projects and strategic initiatives.
  • Prepare and submit travel and entertainment expense reports accurately and in a timely manner.
  • Conduct industry, client, and competitive research to support presentations, proposals, and business development efforts.
  • Support additional administrative duties and special projects as assigned.
