Requirements

  • Meticulous attention to detail.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook) and other business-related software.
  • Strong organizational and problem-solving skills.
  • The ability to learn independently.
  • A proactive self-starter with a "can-do" attitude and a desire to take ownership of their role.
  • The ability to prioritize and manage multiple deadlines and tasks.

  • Minimum of 1 year of administrative experience.
  • Post-secondary education.
  • CIRO license, or the ability to become licensed within 6-12 months of hire.

Responsibilities

  • Administering the client onboarding process, including gathering information and processing documentation.
  • Managing and maintaining client information and communicating with clients to update records as necessary.
  • Preparing professional correspondence, reports, documents, and files.
  • Responding to requests for information in a timely manner.
  • Supporting clients with general day-to-day service requests.
  • Communicating internally with various operational and administrative departments.
  • Maintaining the Customer Relationship Management (CRM) system.
  • Managing our WOW client service program.
  • Managing calendars and scheduling activities.
  • Email triage and prioritization.
  • Meeting preparation and coordination.
  • Following up with clients and wholesalers.
  • Tracking and monitoring paperwork.
  • Performing CRM quality control.
  • Assisting with staff coordination.
