About The Position

The UWC-USA program is a two-year experience that integrates academic, UWC CAS (Creativity, Activity, and Service), and Residential curricula, preparing students to serve as catalysts for greater unity, peace, and sustainability in the world. The Assistant to the Deans supports the core programming of the UWC-USA student experience by providing administrative support to the Dean of Student Life and the Dean of Teaching and Learning. This role involves calendar, budget, and purchasing support, student records management, conducting student-facing meetings to address support needs, and ensuring adherence to school policies. The Assistant is expected to have strong competency in written communication and data management applications, and will be required to gain proficiency in the school's platforms: Google Suite, Veracross, REACH, and Canvas. The position is a 10-month agreement running from early August to late May, with pay distributed over 12 months. The beginning and end of the school year, and the end of each trimester, are particularly busy periods requiring professional presence.

Requirements

  • Advanced proficiency in Google Workspace Suite, including Google Drive, Docs, Sheets, Forms, as well as Student Information Systems

Responsibilities

  • Provide administrative support using digital platforms (Veracross, Canvas, Google Workspace, Event Manager, Panda Docs, Amazon account, REACH, School Dude, etc.)
  • Manage record keeping and data collection, entry, and analysis
  • Manage professional attendance and timeliness for deadlines and commitments, prompt faculty to complete requested tasks (iSolved, spreadsheet data collection, surveys)
  • Assist in communication with students, faculty, staff, external partners, and families
  • Draft templates of formal correspondence (job descriptions, letters to parents, NC, etc.)
  • Final review and editing of formal correspondence (job descriptions, letters to parents, NC, etc.)
  • Timed sending of formal correspondence with merged information, attached or linked materials
  • Receive and maintain records for learning disability diagnoses. Alert faculty of the accommodations requested by medical providers and file documentation for use with external testing services.
  • Prepare graphics and visual representations (ex., calendars, summary of data, infographics of processes)
  • Create, maintain, and update a handbook on the standard operating procedures used by both Deans
  • Assist in coordination across teams, communication, and calendaring of events
  • Manage and deploy templates for regular residential life correspondence: Friday Flash, REACH travel requests
  • Manage budgetary procedures: Assist with contract drafts and related documentation, Prepare and log disbursement requests, Complete and submit credit card statements and receipts, Track budget spending
  • Track time off for employees under the Educational Division including absences at meetings or achievement of deadlines for required reporting
  • Fulfill other tasks as determined by the Deans
  • Conduct face-to-face meetings with students to address support needs and adherence to school policies.
  • Coordinate student support needs with Health Team, Residential Life, and Academic Support Lead
  • Co-teach a First Year Foundations class with the IB Coordinator and the Research Support Specialist to introduce, practice, and master approaches to learning to students in their first trimester
  • Coach students one-on-one and in small groups on how to manage and integrate basic learning accommodations.
  • Actively participating and contributing to committee or task force assignments, providing leadership in campus-wide events or initiatives, strategic planning efforts, in the experiential education program, the dormitories, dining hall, and/or in physical plant initiatives.
  • Initiating strategic discussions and sharing thoughtful and innovative ideas with your co-workers for carrying out the UWC mission and successfully completing day to day work assignments.
