Strategic Planning Law Group, P.C. is a boutique estate planning law firm with offices throughout California. The firm focuses on estate and business succession planning for high and ultra-high net worth individuals and families and their closely held businesses. The firm has an affiliation with Aspiriant, a leading independent wealth management firm with offices spanning the U.S., with whom the firm shares multiple clients and offices. As a member of the Strategic Planning team, the Assistant is accountable for document management, administrative backing, and day-to-day office operations. Duties include document processing and filing, billing support, expense management, and assistance with the preparation of correspondence and legal documents. Requirements

  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Word, Excel, Adobe Acrobat, and PowerPoint.
  • Highly organized, detail-oriented, proactive, and able to effectively manage multiple priorities in a fast-paced environment.
  • Motivated to learn, take initiative, and grow within the role.
  • Ability to learn quickly and adapt to new systems and processes.
  • Demonstrated ability to take ownership of projects and seeing them through to completion.
  • Able to provide excellent professional references.
  • Professional, reliable, and capable of handling confidential information with discretion.

Nice To Haves

  • Professional experience in a legal environment preferred but not required.
  • Billing experience preferred but not required.
  • Experience with general accounting a plus.
  • Experience with legal billing software a plus.
  • Bachelor’s Degree or Associate’s Degree preferred.

Responsibilities

  • Manage firm billing, cost tracking, expense reporting, and related recordkeeping.
  • Process incoming and outgoing mail and documents, including preparing, mailing, scanning, naming, and electronically filing materials within the firm’s systems.
  • Coordinate day-to-day office operations, including answering incoming calls, scheduling meetings, maintaining office organization, and managing office supply inventory.
  • Prepare correspondence and maintain firm templates.
  • Assemble client documents, meeting binders, and related materials.
  • Coordinate internal firm meetings and office events.
  • Perform additional administrative and operational duties as assigned.
