About The Position

The Assistant Service Manager is responsible for scheduling and managing all open work orders for the entire zone. This includes analyzing open work orders, coordinating material deliveries, enforcing the use of Xoi, and managing work order statuses. The role also involves collaborating with the EST, handling billing and PM work orders, managing purchasing and payroll, scheduling coil cleaning, and providing support to technicians. Escalation to the zone manager and service manager is required for various issues.

Responsibilities

  • Analyze open work orders and schedule for PM, quoted (once material is available and confirmed by dispatch notes in Sampro), Service Calls and PM Surveys
  • Review the work order in detail with technician and FS and set goals
  • Coordinate delivery of materials to get to the job and/or technicians
  • Manage all open work orders and schedule for entire zone
  • Enforce usage of Xoi to technicians. Escalate to SM when necessary
  • Organize dispatch board
  • Direct all work orders statuses from: Waiting Service, Pending, Scheduled, Unacknowledged, Travel, Onsite, Return Trip, Parts Ordered
  • Collaborate with EST
  • Handle Parts Received, Parts Pick Up, Quote Approved (ASAC tech work)
  • Schedule with no parts needed
  • Handle Quote Approved(Subcontractor/ With or without ASAC tech) coordinate schedule with sub contractors and customers
  • Review completed work orders and add billing instructions and set status to Invoice Review
  • Escalate problem work orders to SM and set status to Manager Review
  • Check PM Work Orders for completeness, prepare future order and close out
  • Order PM materials
  • Prepare inventory and Tool PO’s for technicians (Approval from Rob with collaboration with FS)
  • Check payroll for accuracy and submit to payroll department
  • Escalate payroll issues to service manager
  • Schedule coil cleaning with customers and subcontractors
  • Provide equipment lists, coordinate vehicle repairs, etc. for technician support
  • Address driving alerts with technician as needed
  • Approve time off requests for technicians
  • Assist Service Manager with technician reviews
  • Initiate performance discussions in Paycom and send to SM for approval
