About The Position

The Assistant Purchasing and Receiving Manager is to be the support manager of the Purchasing and Receiving Manager who oversees 4 hotels purchasing and receiving functions. This position will have full responsibility over the loading dock and ensure that safety and proper receiving controls are being followed. Additionally, this position is to act as the purchasing and receiving liasion between operations teams, outside vendors and accounting through our purchasing system, Birch Street. The Assistant Purchasing and Receiving Manager is to anticipate operations needs and ensure all controls are being followed as required.

Requirements

  • Basic computer skills in Microsoft Suite.
  • Previous experience with driving a Hi Lo.
  • Basic understanding of Birch Street.
  • Ability to exercise considerable initiative, planning and judgement while prioritizing work, learning new concepts quickly and juggling multiple tasks calmly in a fast environment.
  • Create and maintain a positive attitude with a focus on teamwork.
  • Be available for any emergencies and act in a capacity to protect our guests and associates, while preserving the building and its systems during the emergency. To act as quickly and responsibly as possible to return to a normal operating status. To inform Finance and Accounting, Engineering Management and Security of any such emergencies.
  • Follow the hotel's recommended safety, security and emergency procedures.
  • Work in a neat and efficient manner, keeping work areas clean and well organized.
  • High school dipoloma or equivalent required

  • Previous warehouse/inventory management preferred

Responsibilities

  • Act as loading dock manager for hotel. This includes responsiblity of ensuring operations are running safely and securely.
  • Responsible for food purchases, non-food orders, and other special or high value purchased. Maintain the order guides & par levels; and following up with vendor for back orders, substitutes and other issues.
  • Responsible for making sure that purchases are within budget (food cost).
  • Support the Purchasing and Receiving Manager in the operation of the purchasing department & supervising all hourly staff.
  • Monitor the receiving/storing/distribution of all purchased products and non-food items; follow up with the vendor & department concern on any issues and help in the resolution.
  • Lead the month-end inventory count process.
  • Represent the department in internal and external meetings as needed including Department Head as the purchasing representative.
  • Assist managing all Birch Street functions including purchasing, receiving and requistioning.
  • Oversee and support purchasing and receiving functions at Ada Hotel, Courtyard by Marriott and AC Marriott hotels.
  • Assist in monitoring receiving clerk(s).
  • Maintain an accurate up-to-date guest package log and assist in delivering guest/internal package/s to the designated location.
  • Maintain an accurate up-to-date outgoing package log for shipping out packages and lead in the settling guest/internal department's package issues.
  • Make required store runs on behalf of F&B teams as needed.
  • Act as main contact for operations departments and be available for support over the phone if not visibly present.
  • Anticipate needs of operations departments and work as liason between vendors and operations department heads.
  • Supervise the usage of the company vehicle and ensure all safety requirements are being followed.
  • Any additional duties as requested by the Finance and Accounting Director, Assistant GM, & GM.
