Requirements

  • A bachelor’s degree in real estate, business, construction, or a related field from an accredited college or university.
  • One to five years of professional commercial real estate experience, preferably in a commercial real estate management environment, or an equivalent combination of education, real estate certification(s), and commercial internship experience.
  • Excellent communication skills, both verbal and written.
  • Strong teamwork skills.
  • Ability to effectively communicate with superiors, vendors, tenants, various property management personnel and the public.
  • Ability to read, write, analyze, and interpret contracts, leases, construction drawings, financial reports, and legal documents.
  • Ability to resolve conflict, negotiate business agreements, and enforce existing agreements without disrupting customer/client relationships.
  • High degree of proficiency in computer technology and applications typically used in real estate management.
  • High degree of problem solving and analytical skills combined with superior judgment and common sense.
  • Ability to manage multiple projects and duties.

Nice To Haves

  • RPA or CPM designation
  • LEED Accredited Professional (AP) or Green Associate (GA)
  • North Carolina Real Estate Broker’s license
  • Membership in BOMA or IREM is encouraged.
  • Candidates are not required to possess such credentials as a condition of hire but must be willing to pursue these as part of the training required for the position.

Responsibilities

  • Assist the Property Manager in the day-to-day supervision and administration of service vendors including janitorial services, elevator and escalator systems, interior and exterior stone, metal and wood maintenance, waste management and recycling programs, pest control, and interior and exterior landscaping.
  • Manage contract workflows, including preparing and coordinating documents for various agreements.
  • Monitor the scope and terms of all service contracts.
  • Assist in the reporting, communication, and documentation of all insurance claims.
  • Track Incident Reports/End of Shift Reports and follow up on reported operational issues.
  • Supervise Property Management Assistant in collecting Certificates of Insurance from vendors and tenants.
  • Conduct daily and quarterly inspections of common areas, parking garage, roof, loading dock, and vacant floors.
  • Submit work order requests for deficiencies and follow up on their completion.
  • Assist in project management, building construction projects, and tenant upfits, including tracking project costs and submittals.
  • Maintain proper documentation of all construction activity.
  • Manage paper files and assist as directed in the role of SharePoint Site Administrator.
  • Assist in the preparation of building operating expense and capital budgets.
  • Serve as coder in accounts payable/receivable processing, including creating and coding purchase orders.
  • Monitor budget variances and assist in monthly budget variance analysis and forecasting.
  • Serve as the main point of contact for tenant requests or questions related to the Building Amenity Center.
  • Coordinate amenity spaces for tenants and assist in planning building-managed or tenant-managed events.
  • Proactively inspect tenant and common areas to ensure quality service delivery and resolve requests and complaints.
  • Coordinate special event requests with third parties for use of the Exterior Plaza.
  • Assist the leasing team in marketing the property and preparing vacant spaces.
  • Assist with the review, interpretation, and enforcement of tenant leases.
  • Assist the Accounting Department by checking lease terms, collecting Certificates of Insurance, and keeping stacking plans current.
  • Establish and maintain relationships with primary tenant contacts and resolve complaints.
  • Participate in tenant relations activities, events, and meetings.
  • Coordinate with other building departments including Engineering, Administration, Accounting, Security, and Parking.
