About The Position

Village Green & Yarmouth Commons, a Vesta community in Barnstable, MA, is seeking a hands-on, customer service-focused Assistant Property Manager with experience in affordable housing. This role involves assisting the Property Manager in achieving maximum occupancy and collections, ensuring compliance with administrative procedures, and taking charge in the Property Manager's absence. The position requires fostering positive relationships with residents and staff, coordinating leasing, managing resident concerns, and overseeing various administrative and financial tasks related to property management.

Requirements

  • Associates degree or equivalent experience, plus an additional 2 years of related experience/proven track record in a similar function (e.g., occupancy, leasing, APM role).
  • Experience with site-based affordable housing programs strongly preferred if applicable.
  • COS and/or CPO Certification strongly preferred.
  • Multilingual skills strongly preferred and sometimes required, based on property needs.
  • Ability to use and communicate through email required.
  • Previous customer service experience.
  • Strong computer skills: including MS Office suite, Outlook, and property management software (Yardi strongly preferred).
  • Successful completion of a background check and drug screening required.

Responsibilities

  • Assisting and supporting the Property Manager and support staff in achieving maximum occupancy and collections.
  • Communicating and collaborating with site staff to ensure all site compliance and financial administrative procedures are met.
  • Assuming the role of person in charge when a Property Manager is not present.
  • Fostering a positive, active, and collaborative relationship with residents, communities, and associated agencies.
  • Assisting and supporting the Property Manager in the coordination and processing of compliance and financial administration, leasing, resident retention, and maintenance and safety.
  • Keeping the reception area clean with professional surroundings.
  • Answering and directing incoming calls to the appropriate team member and ensuring proper follow-up when the team member is unavailable.
  • Listening to and addressing resident concerns/requests timely to ensure resident satisfaction or providing a response regarding action/inaction.
  • Greeting, introducing, welcoming, and conveying benefits of the property to prospective residents and visitors.
  • Coordinating leasing, including interviewing prospective residents, assessing their needs and qualifications, and securing a completed welcome card and/or application.
  • Entering prospective resident information into the property data system.
  • Scheduling application intakes, interviews, processing, and preparation of applications, and their distribution.
  • Accompanying prospective residents to apartments, discussing size and layout, lease terms, and available facilities.
  • Qualifying prospective residents based on property program requirements and the tenant selection plan.
  • Coordinating and maintaining a healthy applicant waiting list to ensure future maximization of occupancy.
  • Calculating rent based on property program/procedures or rent schedule.
  • Completing appropriate lease forms/documents and collecting reservation deposit (if applicable), security deposit, and initial or prorated rent.
  • Handling marketing outreach, including interacting with neighborhood groups, local employers, community organizations, and other sources of prospecting and lead generation with a focus on converting leads into rentals.
  • Conducting marketing surveys and regularly reviewing traffic reports, sharing trends with the Property Manager.
  • Assisting with and attending resident retention initiatives (e.g., resident functions, promotions, monthly newsletters) and property-issued communications/notices (e.g., bad weather, emergency).
  • Gathering, preparing, and executing lease renewals, and intake, preparing, and processing interim recertification, annual recertification, and other documentation as required by local, state, and federal agencies.
  • Securing all required applicant and resident signatures for administrative processes.
  • Maintaining accurate records of all resident transactions/certifications and processing them timely (interim certifications, move-in/move-outs, etc.).
  • Managing the collections, depositing, and posting of all rent and late fees/charges, delinquencies, late notices, and evictions as assigned by management.
  • Managing and ensuring all Housing Assistance Payments, including special claims, are requested and received as applicable.
  • Notifying management of and processing necessary legal action for resident non-payment or non-compliance.
  • Processing information in property management software regularly, e.g., work orders, certifications, deposits, and all pertinent resident documentation.
  • Ensuring that apartments, models, or any aspect or amenity of the community meets Vesta quality standards and expectations prior to showing.
  • Reporting any maintenance or physical property needs to the Property Manager and/or Maintenance personnel.
  • Inputting work order/service requests into the property data system, communicating to maintenance, and following up.
  • Assisting with monitoring service contractors to ensure proper completion of contracted duties (e.g., exterminator, landscaper, snow removal, etc.).
  • Assisting in the achievement of property financial goals.
  • Consistently maintaining property rules and regulations in accordance with property-based programs, Vesta’s SOP, and all state, federal, and/or local laws.
  • Preserving and respecting resident, applicant, employee, and company confidentiality.
  • Performing other duties as assigned by management.
