About The Position

Worthe Real Estate Group is a prominent real estate development, management and investment firm that owns and manages Class A office buildings throughout Los Angeles. We are looking for an Assistant Property Manager with strong commercial real estate experience to join the building management team and interact with high profile tenants at one of our beautiful Encino properties.

Requirements

  • Bachelor’s degree (BA/BS) from four-year College or university
  • Must be highly proficient in Microsoft Word and Excel
  • A strong understanding of basic math fundamentals and accounting
  • Personable and knows how to determine the needs of a tenant

Nice To Haves

  • Prefer 2-5 years of experience in residential or commercial leasing
  • Active Real Estate License preferred

Responsibilities

  • Assisting in all areas of property management.
  • Supervising building staff directly and indirectly under the Property Manager’s supervision.
  • Handling all communications with tenants, including composing and distributing memos, attending monthly meetings to address any concerns/requests and to ensure satisfaction.
  • Answering correspondence from tenants, vendors, and suppliers.
  • Attending monthly meetings with vendors (ex. janitorial, security, landscaping, parking, engineering).
  • Assisting Sr. Property Manager with day-to-day duties and providing support to Asset Manager on projects.
  • Reviewing, coding, and approving invoices, ensuring timely receipt and payment.
  • Creating scope of service and drafting new contracts.
  • Reviewing and maintaining fully executed contracts by keeping an updated Contract Log, monitoring contract terms, and sending out contract renewal letters.
  • Ensuring that contracts, P.O’s, COI’s are received, saved, and entered into the appropriate logs prior to the commencement of any work.
  • Monitoring and training Property Administrator to use service request system and accounting programs (ex. ETH system, MRI).
  • Assigning and assisting Property Administrator with various assignments/projects (ex. CAPEX logs, Budget projects, and tenant invoicing).
  • Scheduling meetings and inspection walks to ensure that the property is properly maintained.
  • Scheduling and coordinating the logistics required to complete budgeted projects.
  • Coordinating and dispatching the appropriate staff to handle maintenance issues.
  • Creating, updating, and maintaining payment logs, budget project spreadsheets, and CAPEX project logs.
  • Updating OPEX (operating expenses) accounts on monthly variance report.
  • Overseeing vendors for budgeted projects – meeting with vendors to obtain quotes/proposals and to ensure that vendors fulfill agreement as stated in contract.
  • Overseeing the vendor bidding process for budgeted projects, which includes scheduling walks/meetings, outlining scope of work, preparing a vendor bid analysis sheet, and drafting contract for full execution.
  • Assisting tenants with requests through the ETH system and monitoring the timeliness of completion of work.
  • Batching and cutting checks in MRI.
  • Emailing sundry/rent invoices to tenants and posting charges in MRI.
  • Preparing Statements of Account, Invoices, and Credit Memos to tenants.
