Requirements

  • Competency in all areas of apartment sales/leasing, including telephone technique, appointment setting, prospect qualifications, apartment showings, closings, and follow-up.
  • Ability to prepare and execute leases.
  • Ability to collect necessary fees and security deposits.
  • Proficiency in logging and inputting records and activities in management software.
  • Ability to send out monthly Resident Invoices.
  • Ability to process rent payments and make manual deposits.
  • Ability to send renewal offers and answer Resident questions.
  • Ability to receive notices to vacate and coordinate move-out inspections/appointments.
  • Ability to perform monthly audits (vehicle, pet, security deposit, renters’ insurance).
  • Ability to work with Compliance/Accounts Managers for collections and account issues.
  • Ability to update standard communications regarding policy/fee changes.
  • Ability to inform Manager/Maintenance Associates of property issues.
  • Ability to assist Manager with marketing responsibilities.
  • Ability to participate in community outreach, preparation, and execution.

Responsibilities

  • Available to open the office each morning in accordance with Standard Operating Procedure, ensuring common areas, amenities, model apartments, etc. are ready for Guests.
  • Establishes rapport with Residents and/or Prospects providing personalized service consistent with Fair Housing standards.
  • Monitors for Community curb appeal through daily clubhouse and amenity walks to meet company condition standards.
  • Manages the details of move-in and move-out experiences with the assistance of the Resident Experience Team and Maintenance.
  • Ensures apartments for new move-ins meet quality and cleanliness expectations and is accountable to create and provide an exceptional move-in experience for new Residents.
  • Manages, plans, attends, and completes Resident social functions such as Resident Appreciation events, parties, and other organized activities for the Residents.
  • Handles Resident questions or concerns, including service requests, feedback, complaints, functions, lease renewals, etc.
  • Assists the District/Community Manager with handling Resident feedback and conflict resolution.
  • Understands and strives to fulfill Resident satisfaction goals and objectives to attain exceptional feedback both through company surveys and online reviews.
  • Assists in driving overall occupancy through renewal, retention, and referral efforts with current Residents, ensuring unit availability is accurate in management software.
  • Demonstrates competency in all areas of apartment sales/leasing, including telephone technique, appointment setting, prospect qualifications, apartment showings, closings, and follow-up in support of Leasing Teams.
  • Assists in touring Prospective Residents.
  • Prepares and executes leases in accordance with J.C. Hart’s Community standards and regulations.
  • Collects any necessary fees and security deposits.
  • Logs and inputs records and activities in management software such as lease signings, rent payments, fees, invoice processing, maintenance requests, Resident communications, Resident files, document management, etc.
  • Sends out monthly Resident Invoices through the property management software.
  • Processes rent payments as well as taking any manual deposits to the bank.
  • Responsible for sending renewal offers per standard operating procedures and answering Resident questions as needed.
  • Receives notices to vacate from Residents and coordinates move-out inspections/appointments with Maintenance Team.
  • Responsible for monthly audits including but not limited to vehicle, pet, security deposit and renters’ insurance to meet lease requirements and addendums.
  • Works with Compliance/Accounts Managers to coordinate bad debt and/or collections needs or troubleshoot Resident account issues.
  • Responsible for updating standard communications related to changes in policies, fees, etc.
  • Informs the Manager/Maintenance Associates of all problems/situations that occur on property.
  • Assists Manager with marketing responsibilities (Resident events, signage, outreach, social media, etc.).
  • Participates in community outreach, preparation, and execution.
