About The Position

The Assistant Property Manager will perform routine property inspections, schedule vendor repairs, and coordinate tenant service requests related to property operations and administration. This role involves facilitating and maintaining the tenant work order system, coordinating property-related document administration, and supporting Property Managers in annual budget preparation, development, and managing capital expenditure projects. The Assistant Property Manager will also maintain service contracts, track expiration dates, prepare bid packages, assist with tenant billing and collections, administer collection procedures, and follow up on delinquencies. Establishing and maintaining strong relationships with tenants, vendors, and contractors, and effectively communicating technical and financial information are key aspects of this role. Additionally, the Assistant Property Manager will track vendor and tenant certificate of insurance (COI) expirations, ensure compliance, code and process vendor and property-related invoices, and maintain building security measures, document incidents, and notify management as required.

Requirements

  • 1-2 years of Property Management experience.
  • Intermediate skills in Microsoft Office (Word, Excel, PowerPoint) and Yardi.
  • Knowledgeable in local, state, and federal laws that pertain to industrial/office/retail building management and tenant rights.
  • Awareness of safety, risk management, and preventative maintenance procedures.
  • Advanced customer service skills to diplomatically communicate with tenants.

Responsibilities

  • Assist Property Managers with monthly and periodic tenant billing and collections.
  • Administer collection procedures and follow up on delinquencies.
  • Establish and maintain strong relationships with tenants, vendors, and contractors.
  • Communicate technical and financial information effectively with maintenance staff, tenants, and management.
  • Track vendor and tenant certificate of insurance (COI) expirations and ensure compliance.
  • Code and process vendor and property-related invoices.
