About The Position

The Assistant Property Manager is responsible for working directly with the Property Manager and supporting the day-to-day management of a student housing property. This individual will gain hands-on experience relating to all operating aspects of a property, building skills and experience to develop into a Property Manager role. A successful Assistant Property Manager will be organized, driven, and demonstrate a learning mindset – all while fighting for the highest possible good of the team, property, and residents.

Requirements

  • Bachelor's degree in business administration, management, or a related field is preferred.
  • Three or more years of experience in a customer service, sales, or communications-focused role.
  • One or more years of progressive experience in student housing.
  • Prior experience in a supervisory role is preferred.
  • Possess an understanding of property management standards including Fair Housing laws, Tenant/Landlord rights, and general real estate principles.
  • Exhibit strong verbal communication skills with the ability to confidently handle resident questions and sensitive conversations.
  • Ability to resolve conflict and de-escalate situations while providing solution-focused responses.
  • Ability to explain policies, lease terms, and procedures clearly while maintaining a positive resident experience.
  • Ability to implement innovative solutions and continuously improve processes.
  • Exhibit developing knowledge of budgeting, financial reporting, rent collection, and expense management.
  • Strong organizational skills with the ability to assess needs and delegate work accordingly.
  • Ability to take full ownership of decisions and outcomes, demonstrating integrity in challenging situations.
  • People leadership skills with the ability to train and develop new-in-career individuals.
  • Availability after hours to support on call emergencies throughout the year (if main point of contact is unavailable).
  • Open to becoming a Certified Pool Operator.
  • Minimal travel required, limited to occasional company events or as needed.
  • This role is based fully in-office and requires consistent, daily onsite presence.

  • Experience with Entrata software or a similar system is preferred.

Responsibilities

  • Demonstrate excellent customer service with residents, prospects, vendors, officials, and community members; prioritizing others and fighting for their highest possible good.
  • Maintain exceptional curb appeal and take pride in the property grounds, amenities, and common areas.
  • Partner with the Property Manager to lead the annual unit turnover and help execute move-in/move-out procedures.
  • Maintain and coordinate all move-ins and move-outs in the property management software and coordinate with team members on final move out statements (FMOs).
  • Assist the Property Manager with final account statements and collections efforts on past resident accounts.
  • Review delinquency reports and proactively contact residents with outstanding balances.
  • Issue and document all required delinquency and payment-related notices through the property management dashboard.
  • Send pre-collection notices in accordance with company policies and timelines.
  • Receive rent checks/money orders and process all payments accurately and in a timely manner.
  • Process all evictions in the applicable state.
  • File all paperwork with civil proceedings and attend court hearings as required.
  • Partner with the Property Manager to engage, contract, supervise, and approve invoices for all services required to maintain the community.
  • Assist in the development, execution, and ongoing management of annual budgets to ensure positive net operating income (NOI).
  • Effectively manage and lead Community Assistants (CAs) through regular team meetings, new employee onboarding, training, and annual performance reviews.
  • Hire, coach, and develop CAs through accountability, collaboration, empowerment, and regular 1:1 meetings – equipping others to reach their highest potential.
  • Partner with the leasing team to create employee schedules, delegate and assign tasks, and ensure CAs are performing at or above company standards.
  • Utilize business intelligence tools to analyze property performance and make recommendations to the Property Manager for improvement.
  • Maintain complete and up-to-date community files and records across all property management systems.
  • Support after-hour issues and emergency response and documentation protocol, with the ability to respond onsite as needed.
  • Maintain a professional appearance and adhere to the company dress code at all times.
  • Maintain thorough product knowledge of the property, competition, and local market conditions.
