About The Position

This role involves a variety of responsibilities focused on property management and leasing. The Assistant Property Manager/Leasing Professional will handle financial tasks such as check depositing and posting, audit tenant billbacks, and manage delinquency efforts. They will also assist in preparing monthly and annual reports, transactional documentation, and reading ledgers. Coordination with vendors for maintenance, obtaining repair estimates, and scheduling work requests are key duties. The role includes overseeing the leasing process, from document preparation and fee collection to conducting apartment tours and maintaining a high follow-up rate through the CRM. Monitoring occupancy to meet budget expectations, ensuring property curb appeal, and managing the full move-out process are also important. Additionally, the position involves assisting with renewal notifications, completing assigned training, monitoring marketing collateral, and participating in outreach marketing and resident events. Effective communication with prospects, tenants, vendors, and team members is crucial, as is maintaining a complex schedule. The role also requires frequent communication with the legal team regarding evictions and lease violations, and maintaining knowledge of Fair Housing laws. Flexibility to work weekends is necessary, along with assisting in resident retention efforts. The position requires a team player mentality and the ability to complete miscellaneous tasks assigned by management.

Responsibilities

  • Processes check depositing and posting with open communication with the property accountant
  • Audits and assesses tenant billbacks as necessary
  • Audits, monitors, and takes charge of delinquency efforts in a time efficient manner
  • Assists in production of monthly and annual reports in conjunction with the property manager
  • Prepares transactional documentation
  • Effectively read ledgers and other rental documentation
  • Coordinates with vendor teams to address maintenance repairs and preventative maintenance efforts
  • Locates opportunities for review requests following positive interactions with residents or prospects
  • Obtains estimates/bids for repairs on property as needed
  • Enters and schedules work requests for tenants and make-ready units
  • Oversees the leasing process which includes but is not limited to document preparation, fee collection, and conducting apartment tours
  • Maintains an acceptable closing ratio, as well as meets or exceeds 90% follow-up requirement through our CRM platform
  • Monitors occupancy for units and other rentable items to meet or exceed budget expectations
  • Tours the property daily to ensure excellent curb appeal, removes trash and debris as discovered along path
  • Walks every unit prior to showing, providing keys for move-in, or other applicable situations
  • Completes full move-out process to include but not limited to walking vacated units, allocating charges, processing deposit accounting, and sending applicable move-out documentation
  • Assists in renewal notification distribution and follow-up
  • Maintains 100% completion in any additional training assigned through the Grace Hill Platform or any other training software required
  • Monitors marketing collateral and communicates needs with marketing department
  • Assists in outreach marketing efforts and resident events
  • Communicates effectively with prospects, tenants, vendors, and other team members
  • Maintains complex schedule to include appointments, team meetings, due dates, and conference calls
  • Communicates frequently with legal team in reference to eviction proceedings and other lease violations
  • Maintains working knowledge of Fair Housing and other applicable laws, rules, and regulations
  • Assists in resident retention efforts and other resident needs as applicable
  • Completes all other miscellaneous tasks assigned by either the property manager or upper management
