About The Position

OpenExchange is seeking an Assistant Project Manager (APM) to join our growing organization. In this role, you will be responsible for supporting Project Managers (PM) with the coordination and delivery of OpenExchange’s (OE) conference services worldwide. This opportunity begins with training and work responsibilities as a Video Specialist. Mastering VS skills are critical for success in the APM role in understanding OpenExchange services and processes. This role will be a remote, part-time role. Some travel may be required based on assigned events. This is a unique opportunity to support OpenExchange Video Conference operations in an organization that has a virtual workforce–worldwide. We have a start-up environment and are building our infrastructure while also rapidly expanding our client base. Potential to help in other areas of Delivery with potential for Full Time growth.

Requirements

  • Bachelor’s Degree preferred.
  • High degree of organizational skills, able to multitask and prioritize.
  • Solid problem-solving skills.
  • Excellent communications skills: verbal, written and presentation ability.
  • Ability to build trust and model the way OE provides excellent services.
  • Technology savvy: MS Office, Zoom, Salesforce
  • Ability to thrive in a virtual work enterprise along with flexibility, energy, and an ability to work in a fast-paced environment.
  • Flexibility on work hours (we support international clients and global OE Teams)

Responsibilities

  • Assist OpenExchange Project Managers with managing the delivery of information and processes to OE operations teams leading up to events as well as aiding PMs during the day of events, including:
  • Provide assistance to Project Managers with staffing of Video Specialists to ensure coverage for events
  • Help to set-up and organize Video Specialists kick off calls
  • Communicate key points for event to Video Specialists
  • Prepare "Cheat Sheets" each night ahead of a conference execution day
  • Liaise with client (last client catch-up call leading up to event, day of execution call/channel)
  • Lead internal team to successful execution through timely, informative, and positive messaging
  • Create alternate connections via the designated team upon request(s)
  • Monitor Helpscout inboxes for incoming event requests from clients and post in appropriate channels for Project Manager coverage.
  • Enter new events accurately in Salesforce and build out these events in Central for a Project Manager to take over once assigned.
  • Consolidate and prepare post conference analytic reports to provide to clients (i.e.: registration and attendee reports)
  • Fulfill duties as a Video Specialist as needed as well as any additional duties as required.
