About The Position

The Assistant Project Manager (APM) is responsible for planning, organizing, and administering client contracts, as well as contracts with subcontractors. This role involves proactively managing the project's schedule, costs, contract changes, and financial aspects, reporting internally to the PX or VP and externally to the client. The APM collaborates closely with the field Superintendent to ensure timely and cost-effective execution of quality projects, aiming for client satisfaction through proficient use of company tools. A critical function of the APM is the timely procurement, review, approval, and delivery of all building components, including labor, materials, equipment, and subcontractors, to support the Superintendent's efficient and safe work execution. The APM is accountable for ensuring all project components and resources strictly comply with contract documents and the project schedule. Depending on project size and complexity, the APM may perform duties independently or lead a team of subordinates.

Requirements

  • Bachelor's degree (B. A., B.S. or B. Arch.) in Engineering, Architecture, Building Construction or Business Management from a four-year (five-year in Architecture) college or university; or ten to fifteen years related experience and/or training; or equivalent combination of education and experience.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Training and prior production experience with Primavera P3, Expedition, CMAS, Microsoft Foxpro (or comparable database software), and Microsoft Word (or comparable word-processing software).
  • Regularly required to use hands to finger, handle, or feel objects, tools, or controls and talk or hear.
  • Frequently required to stand, walk, sit, and reach with hands and arms.
  • Occasionally required to climb or balance; and stoop, kneel, crouch, or crawl.
  • Must occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Carries out supervisory responsibilities in accordance with RUSSELL's policies and applicable laws: including planning, assigning, and directing work; appraising personnel performance with the Group Manager; addressing complaints and resolving problems.

  • Registration as an Architect or Engineering would bring added value and credibility to an individual in this position but is not required to fill this position.

Responsibilities

  • Prepares performance evaluations for supervised employees.
  • Develops project budget and schedule of values.
  • Establishes a responsibility matrix in consultation with the Project Superintendent.
  • Plans project start-up and mobilization using the sequential APM start-up checklist.
  • Obtains necessary licenses and permits.
  • Ensures appropriate insurance coverage is in place.
  • Obtains necessary contractual documentation from subcontractors and vendors.
  • Manages all buyout meetings with subcontractors and vendors, ensuring participation by the Project Pre-construction Manager and Project Superintendent.
  • Manages all owner and subcontractor change orders and claims.
  • Consolidates and submits pay applications.
  • Coordinates with the Project Superintendent, subcontractors, and suppliers.
  • Prepares project progress reports in consultation with the Project Superintendent.
  • Manages and implements cost control procedures and prepares monthly cost and profitability reports.
  • Establishes the project schedule, detailed estimates, and staffing requirements with the Project Superintendent.
  • Develops and maintains good relationships with managers of clients, architects, and engineers.
  • Conducts subcontractor and vendor buyout meetings in conjunction with the Project Pre-construction Manager and Project Superintendent.
  • Prepares subcontracts and purchase orders with input from the Project Pre-construction Manager and Project Superintendent.
  • Guides the professional development of subordinate project management staff through instruction and training programs.
  • Assumes primary responsibility for overall project quality, schedule, and profitability.
  • Prepares all correspondence with owners and the design team.
  • Manages a complete shop drawing/submittal register and updates it regularly.
  • Reviews all shop drawings and engineering details.
  • Prepares the General Contractor's Application for payment, monitoring retainage.
  • Conducts OAC meetings on a monthly or bi-weekly basis.
  • Performs work in a safe manner and actively encourages others to do the same.
  • Prepares and updates the following information sources weekly: Buyout Log, Submittal Log, RFI Log (Procore), Change Order Log, Subcontractor Log, Material Tracking Log, Owner Progress Reports.
  • Prepares and updates the following information sources monthly: Weather Log, Owner Pay Applications, Cost Projection & Profitability Report.
  • Adheres to all requirements: Labor agreement, Contract Documents, Company Policies, OSHA Requirements.
  • Ensures completion of items from corrective action lists and punch lists.
  • Obtains necessary licenses and occupancy permits.
  • Obtains Certificate of substantial completion.
  • Obtains all warranties and guarantees.
  • Prepares "as-built" drawings.
  • Prepares operations and maintenance manuals.
  • Internal Interfaces with: Accounting, Preconstruction, General Superintendent, Legal/Risk Management, Human Resources, IT.
  • External Interfaces with: Clients, Owner and Architect, Local authorities.
