About The Position

The Assistant Project Manager assists the Project Manager and the project team with executing a project and helps manage all subcontractors, vendors, and professionals towards successful completion relative to budget and schedule goals.

Requirements

  • Proficiency in Procore software for document tracking and distribution.
  • Experience with On Screen Take-off software for miscellaneous take-offs.
  • Ability to develop scope lists for trade contracts and assist in writing scopes of work.
  • Experience in receiving, logging, and comparing bids and proposals.
  • Ability to prepare submittal lists, solicit, receive, and log submittal packages.
  • Skill in reviewing submittals for basic compliance with project documents.
  • Experience in submitting, tracking, and following up on submittals with design teams.
  • Ability to review returned submittal packages and distribute approved submittals.
  • Experience in logging and tracking MEP coordination drawings and files.
  • Ability to schedule and attend MEP coordination meetings.
  • Experience in receiving, logging, and managing RFIs and sketches.
  • Ability to research construction documents and draft RFIs.
  • Experience in submitting, tracking, and following up on RFIs.
  • Ability to review RFI responses and update project documentation.
  • Experience in soliciting and tracking payment applications from subcontractors.
  • Ability to prepare requisitions for review.
  • Experience in logging and tracking change orders (subcontractor requests and owner changes), purchase orders, and waivers.
  • Proficiency in cost coding invoices.
  • Ability to update project schedules and track key milestones.
  • Experience in tracking long lead times and coordinating material deliveries.
  • Ability to prepare meeting minutes (in-house and owner/architect meetings).
  • Understanding of safety programs and company policies.
  • Ability to assist in creating QC checklists.
  • Experience in tracking materials for mockups and other project elements.
  • Ability to receive and log testing and special inspection reports.
  • Experience in tracking NCRs (Non-compliance Reports).
  • Familiarity with programs like NYSERDA Multifamily Performance Program and Enterprise Green Communities Certification Program.
  • Ability to assist in M/WBE tracking.
  • Understanding of construction insurance requirements (CCIP).
  • Ability to coordinate and track requirements for TCO and CO.
  • Experience in tracking punch lists and project close-out documentation.
  • Ability to gather and review O&Ms and As Built documents.
  • Experience in coordinating utility transfers.

Nice To Haves

  • Bachelor's or Master's degree in Construction Management, Engineering, or related field.
  • 1-5 years of prior experience with a General Contractor, Engineering firm, or similar role within the construction industry.

Responsibilities

  • Track & distribute contract documents, sketches, and RFIs using Procore software.
  • Ensure the field office has the most up-to-date drawings, specifications, sketches, and RFIs.
  • Assist with various take-offs, such as doors, windows, and flooring, using On Screen Take-off software.
  • Develop scope lists for trade contracts and assist in writing scopes of work.
  • Receive and log bids and proposals, and assist with bid comparison sheets.
  • Prepare lists of required project-specific submittals, solicit, receive, and log packages from subcontractors (Procore).
  • Review submittals for basic compliance with project documents and scope of work.
  • Submit submittals to the design team, track using Procore, and follow up for prompt return.
  • Review returned submittal packages, log them in Procore, return them to subcontractors, and forward a copy to the field office.
  • Distribute approved submittals to appropriate contractors for coordination.
  • Log and track MEP coordination drawings and files.
  • Schedule and attend MEP coordination meetings.
  • Receive and log RFIs and sketches in Procore.
  • Research construction documents and prepare draft RFIs for consultant submission.
  • Submit, track, and follow up on RFIs.
  • Review RFI responses, log them, return them to subcontractors, and forward a copy to the field office.
  • Mark-up master contract drawing(s) and specifications.
  • Solicit and track payment applications from subcontractors.
  • Prepare requisitions for bank review.
  • Log and track subcontractor change order requests, change orders to the Owner, purchase orders, and waivers (including 2nd tier).
  • Perform cost coding of invoices.
  • Update the project schedule monthly and update key milestones.
  • Track items required to meet key milestones and log/track long lead times.
  • Track material release, shipment, and coordinate deliveries to the site with supers.
  • Prepare weekly in-house meeting minutes (Procore) and Owner/Architect meeting minutes (Procore).
  • Assist with compliance with the Monadnock Safety program and understand the company's safety manual.
  • Assist in creating QC checklists for use by supers (e.g., pre sheetrock, façade, MEP, finishes).
  • Create material logs for mockups, façades, apartments, etc., and track for deliveries.
  • Receive and log testing and special inspection reports.
  • Track and follow up on NCRs (Non-compliance Reports).
  • Coordinate, log, and track documents required for NYSERDA Multifamily Performance Program and Enterprise Green Communities Certification Program.
  • Assist in M/WBE tracking.
  • Review the weekly insurance log with the field to ensure subcontractor compliance with CCIP or other required insurances.
  • Coordinate and track the log of requirements for TCO (Temporary Certificate of Occupancy) and CO (Certificate of Occupancy).
  • Track the punch list and handover to the owner.
  • Gather O&Ms (Operations & Maintenance manuals) and As-Builts, and review for accuracy.
  • Coordinate utility transfers to the owner.
