About The Position

This role involves supporting Project Managers in daily project execution, coordinating with field supervision and project teams, and taking the lead on project team portions as needed. The Assistant Project Manager will be responsible for maintaining various project documentation, including RFIs, submittals, change orders, and project files, as well as managing document-control systems. Key tasks include preparing and implementing RFI responses, tracking project schedules and milestones, and assisting with project budgets, financial tracking, billings, and cash-flow projections. The role also requires developing manpower, labor, and billing projections, identifying scope changes, preparing change-order pricing, and supporting subcontractor and vendor buyouts. Additionally, the Assistant Project Manager will monitor subcontract agreements, resolve issues, track project progress and performance, participate in project meetings, and assist with project closeout. Maintaining strong working relationships with all project stakeholders and supporting project scheduling, delay documentation, and claims are also essential functions of this position. Mentoring Project Engineers and junior staff is expected when appropriate.

Requirements

  • Experience in project management support.
  • Familiarity with RFIs, submittals, and change orders.
  • Ability to maintain project files and document control systems.
  • Skills in preparing RFIs and coordinating responses.
  • Experience with project schedule tracking and milestone monitoring.
  • Assistance with project budgets and financial tracking.
  • Preparation of monthly billings and cash-flow projections.
  • Development of manpower, labor, and billing projections.
  • Identification of scope changes and preparation of change-order pricing.
  • Experience in preparing, issuing, tracking, and negotiating change orders.
  • Support for subcontractor and vendor buyouts.
  • Preparation of purchase orders and verification of scopes.
  • Monitoring of subcontract agreements and resolution of issues.
  • Tracking of project progress and performance metrics.
  • Participation in project meetings.
  • Assistance with project closeout and O&M documentation.
  • Ability to maintain strong working relationships with stakeholders.
  • Support for project scheduling and delay documentation.
  • Mentoring junior staff.

Responsibilities

  • Support Project Managers with daily project execution.
  • Coordinate directly with field supervision and project teams.
  • Lead portions of the project team when required.
  • Maintain RFIs, submittals, change orders, project files, and document-control systems.
  • Prepare RFIs and coordinate implementation of responses.
  • Maintain project schedule trackers and monitor key milestones.
  • Assist with project budgets, Schedule of Values, and financial tracking.
  • Prepare monthly billings and cash-flow projections.
  • Develop manpower, labor, and billing projections.
  • Identify scope changes and prepare material takeoffs and change-order pricing.
  • Prepare, issue, track, and assist with negotiating change orders.
  • Support subcontractor and vendor buyouts.
  • Prepare purchase orders and verify subcontractor and vendor scopes.
  • Monitor subcontract agreements and resolve scope or performance issues.
  • Track percentage complete, burn rates, and labor performance with field supervision.
  • Participate in kickoff meetings, construction meetings, and project-status meetings.
  • Assist with closeout and operations and maintenance documentation.
  • Maintain strong working relationships with clients, general contractors, subcontractors, vendors, owners, and field teams.
  • Support project scheduling, delay documentation, back charges, claims, and contractual notices.
  • Mentor Project Engineers and junior project staff when appropriate.
