About The Position

We have an exciting opportunity to join our team as an Assistant Operations Manager. In this role, the successful candidate is reporting to the Associate Director of Operations, this position provides critical assistance and management with operational responsibilities as needed. Acts as a manager in the absence of a manager and provides support, guidance, and oversight of departmental operations, including business and marketing. This individual will also be responsible for oversight of marketing development and communications on behalf of the Department, liaising with NYULH Marketing Department. Assists with projections, forecasts, budgets, reporting and special media and marketing projects. Generates, analyzes and distributes a variety of reports and analyses which are vital to decision making processes for both Departmental leadership and Management. The function will support Department of Neurosurgery missions with analysis needed for making informed managerial decisions. This individual will work closely with SOM corporate groups, including collaborations with Finance and Marketing, as well as FGP to prepare and review annual budgets and resolve financial issues.

Requirements

  • Bachelors Degree with 2+ years of relevant experience in the health care field and/or equivalent combination of education and experience.
  • Written and oral communication skills.
  • Excellent organizational skills and the ability to prioritize multiple tasks, projects and assignments.
  • Exceptional attention to detail and accuracy.
  • Ability to work well in a team environment.
  • Ability to display a professional demeanor, maintains confidentiality, and works independently.
  • Ability to take initiative and exercise sound judgment, decision making and problem solving.
  • Strong computer skills, including basic keyboarding skills.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook).

Responsibilities

  • Performs other duties as assigned.
  • Demonstrates knowledge of the organization's Core values and Customer service principles and incorporates them into the performance of duties.
  • Prepares and processes special projects as requested by management and Department. Coordinates and prepares month end journal entries and supporting documentation for upload.
  • Prepares monthly, biweekly supplemental compensation transactions and incentive bonus requests for the Faculty Group Practice and Neurosurgery.
  • Acts as a liaison with Payroll regarding faculty supplemental compensation and incentive bonus payments.
  • Serves as backup for Business Manager. Serves as backup for FGP and Cash management processes, whenever necessary. Interacts with NYU Hospitals Center regarding FGP pass-through expenses.
  • Works closely with FGP and departmental leadership to prepare annual budgets.
  • Build analytical clinical databases for departmental metrics.
  • Resolve financial issues (budgets, variances, new needs requests, etc).
  • Provides support for FGP Practice Managers and Administration for investigation, follow-up and analysis.
  • Reviews recorded transactions and reports irregularities to management.
  • Prepares accounts receivable reports. Prepares vacancy reports.
  • Makes collection calls and follow-up. Tracks IOI expenses.
  • Produces ad hoc reports by the Business Manager, Administrator and FGP Leadership as requested.
  • Oversees department-focused social media channels in close collaboration with NYULH communications and marketing teams.
  • Develops and executes marketing and advertisement content plans.
  • Collaborates with C&M on content ideas.
  • Manages internal communications from the chair (e.g., departmental newsletter, quarterly complex cases).
  • Organizes and supports the Department of Neurosurgery's presence at all major academic conferences.
  • Collaborates with C&M to help support their peer outreach efforts.
  • Coordinates departmental events and internal/external conferences.
  • Manages department-specific web content on EDU as well as faculty FAD profiles.
