About The Position

This role operates in a clerical office and mill setting. The Assistant Operations Manager is responsible for ensuring safety and environmental compliance, managing site reports and financials, overseeing maintenance schedules and inventory, processing work orders and invoices, and handling daily operations and customer service. The position requires strong organizational, communication, and computer skills, with a focus on reliability and attention to detail.

Responsibilities

  • Ensure safety procedures are followed and PPE is worn.
  • Attend safety meetings and complete safety quizzes.
  • Inspect fire extinguishers and crane equipment monthly.
  • Report incidents immediately to the safety department and VP of Accounts.
  • Attend environmental meetings and ensure site environmental compliance.
  • Manage audits from the customer.
  • Oversee proper disposal of used oil, hot drain filters, and recycling.
  • Manage metal recycling and track dumpster for scrap payment.
  • Prepare monthly CID Reports.
  • Review operations and parts spend reports weekly.
  • Monitor labor and parts spend, and identify opportunities for efficiency.
  • Schedule preventative maintenance (PM) for all site assets.
  • Create PM services, pull filters, and re-order filters.
  • Plan repairs in conjunction with PMs.
  • Manage oil sampling for the site.
  • Set Statements of Work (SOW) with the team.
  • Develop plans with the maintenance team and mechanics to address inspection action items.
  • Maintain clean and organized shop and yard inventory.
  • Monitor stock levels for fluids, filters, and spare parts.
  • Collaborate with other sites on shared parts stocking levels.
  • Process work orders and rebills in M+.
  • Move invoices to completed status.
  • Update the weekly rental report for IHE and IHW.
  • Ensure rental purchase orders are current with the customer.
  • Assist with collecting monthly hours.
  • Send out damage reports.
  • Be available 24/7 via phone for service calls and machine breakdowns.
  • Communicate with all mechanics.
  • Manage the up/down report.
  • Prioritize tasks for the sourcing agent.
  • Schedule third-party repairs and damages when needed.
  • Maintain professionalism and a positive attitude with customers.
