About The Position

This role is responsible for the daily financial operations of the community, including rent collection, deposit preparation, and invoice processing. The Assistant Manager will operate property management software, manage resident accounts, and handle delinquencies. They will also process vendor invoices, manage resident move-outs, and ensure resident satisfaction and retention. In the absence of the Community Manager, the Assistant Manager will act as the on-site supervisor, delegating tasks and managing community operations. The role also involves supporting leasing activities, showing apartments, processing applications, and preparing move-in documents. A key aspect is promoting a positive image of the apartment community and management company.

Requirements

  • High School or equivalent
  • Strong Math Skills
  • Driver's License
  • Must not have been convicted of misdemeanor or felony offenses involving illegal drug use, public indecency, theft, or crimes against persons or property.
  • Must disclose any criminal history on the employment application.
  • Must pass a Drug Screen Test.

Responsibilities

  • Collects and posts rent, fees, and other payments.
  • Prepares daily bank deposits and monthly close-out reports.
  • Processes invoices and payables.
  • Operates property management software, ensuring accurate data entry, updates, and backups.
  • Reviews resident files to identify unpaid and/or late fees.
  • Communicates with residents regarding outstanding balances and implements collection procedures.
  • Enforces lease terms to maximize revenue.
  • Reviews and submits vendor invoices for payment, reconciling work performed and coding charges.
  • Manages communication between vendors, accounting, and clients/owners.
  • Follows established procedures for evictions, including notice requirements and court representation.
  • Processes resident move-outs according to lease terms and legal requirements.
  • Responds to resident complaints, questions, and requests to ensure satisfaction and retention.
  • Acts as on-site supervisor in the absence of the community manager, organizing work and coordinating tasks.
  • Supports leasing efforts by showing apartments to prospects.
  • Completes follow-up on applications and processes them.
  • Prepares lease and move-in documents.
  • Promotes a positive image of the apartment community and management company.
