About The Position

This role supports the financial operations of the community by handling daily transactions, including rent collection, fee processing, and invoice management. The Assistant Manager operates property management software, maintains resident files, and addresses delinquencies. They also manage vendor relations, process resident move-outs, and ensure resident satisfaction by promptly resolving issues. In the absence of the Community Manager, the Assistant Manager acts as the on-site supervisor, organizing daily tasks and overseeing community operations. Additionally, this role assists with leasing activities, including showing apartments, processing applications, and preparing lease documents, while promoting a positive image of the community and management company.

Requirements

  • High School or equivalent education.
  • Strong Math Skills.
  • Driver's License.
  • Must not have been convicted of misdemeanor or felony offenses involving illegal drug use, public indecency, theft, or crimes against persons or property.
  • Must disclose any criminal history on the employment application.
  • Must pass a Drug Screen Test.

Responsibilities

  • Collects and posts rent, fees, and other payments.
  • Prepares daily bank deposits and monthly close-out reports.
  • Processes invoices and payables.
  • Operates property management software, ensuring accurate data entry and system updates.
  • Reviews resident files to identify unpaid and/or late fees.
  • Communicates with residents regarding outstanding balances and implements collection procedures.
  • Enforces lease terms to maximize revenue.
  • Reviews and submits vendor invoices for payment, reconciling work performed and coding charges.
  • Manages communication between vendors, accounting, and clients/owners.
  • Follows established procedures for evictions, including proper notice requirements and court representation.
  • Processes resident move-outs according to lease terms and legal requirements.
  • Promotes resident satisfaction and retention by responding to complaints and resolving service issues.
  • Acts as on-site supervisor in the absence of the community manager.
  • Organizes and delegates daily work.
  • Coordinates maintenance and make-ready tasks.
  • Manages community operations in compliance with company policies.
  • Assists with leasing, showing apartments to prospects, and completing follow-up.
  • Processes applications and prepares lease and move-in documents.
  • Promotes a positive image of the apartment community and management company.
