About The Position

This position has responsibility for the day-to-day operation and management of a specific property or properties, tenant relations, building operations, service contracts, and accounts receivable and payable. Position contributes to preparation of annual operating budgets, CAM’s, monthly operating reports, and review of financial reports. In addition, position will perform office management responsibilities for the Schnitzer West Denver HQ office.

  • A bachelor’s degree in business, finance or real estate or equivalent combination of education and experience is preferred.
  • Position also requires 2-3 years related experience as well as 3-5 years of administrative experience.
  • Completion of some Building and Owner Management Association (BOMA) courses and other industry-specific classes would be helpful.
  • Real estate license (or willingness to obtain one) required.

Responsibilities

  • Oversee and direct engineers and service vendors in the overall responsiveness of tenant requests.
  • Review tenant services log (work orders) regularly to monitor open items and quality and timeliness of solutions to tenant requests.
  • Work with tenants to resolve escalated complaints and major issues.
  • Maintain excellent tenant relations.
  • Coordinate tenant retention activities including conducting tenant surveys, reviewing results, and recommending action, as necessary.
  • Coordinate the timely completion of all tenant move-in and move-out checklist items and coordinate with the supervisor and general contractor on tenant-improvement work.
  • Contribute to the preparation of the monthly operations report(s), focused on the expense variances and reporting on key operational activities involving vendors, tenants, and projects.
  • Prepare monthly accrual report in corroboration with Manager and accounting team.
  • Manage Accounts Receivable procedures, review monthly tenant statements for accuracy, track tenant payments, monitor tenant delinquencies and assist with collection calls as needed.
  • Prepare demand letters for signature and ensure late fees are accurately applied.
  • Monitor tenants for signs of default.
  • Contribute to preparation of annual budget and annual business plan as directed by the supervisor.
  • Partner in the preparation of Operating Expense estimates and reconciliations and review for compliance with leases.
  • Responsible for maintaining historical tax information, current tenant and vendor insurance information, and complying with the terms of the management agreement.
  • Monitor Account Payables, assist in coding, and reconcile invoices to the original budget identifying changes in scope and fee.
  • Manage daily building operations, overseeing vendor contracts (with regularly scheduled walk-throughs); coordinate with Building Engineer(s) to assign tasks, and conduct periodic building inspections with Building Engineer(s) to plan and prioritize repairs and maintenance to maintain property in Class A condition.
  • Responsible to ensure compliance of preventative maintenance program, maintaining operating manuals and implementing energy management programs as directed by Sr. / Investment Manager.
  • Support the leasing / marketing efforts as directed by Investment Manager.
  • Ensure that all vacant spaces and building common areas are prepped for tours with prospective tenants.
  • Manage oversight of vendor contracts, including contributing to identification of vendor, scope of work, cost, and quality of performance.
  • Prepare vendor contracts and addendums.
  • Responsible to abstract all new leases and amendments, ensuring that all terms and conditions of the agreement are communicated to the engineering, operations, and accounting teams.
  • Ensure that all tenant files are created, maintained and accurate.
  • Implement security program.
  • Participate in life safety processes and procedures and responsible for compliance with fire/life safety testing and training as required.
  • Conduct regular site visits.
  • Provide administrative support to the entire team as needed including spread sheets, word processing, presentation, and database work.
  • Specifically prepare correspondence; scheduling; travel arrangements; lease-related paperwork; take notes at meetings, track, copy and file documents and related functions.
  • Monitor vendor and tenant COI's.
  • Order office supplies, snacks and other miscellaneous items to ensure that all things remain in stock.
  • Create and manage expense reporting process.
  • Code credit card expenses for Denver HQ team.
  • Special projects as needed.
  • Assist with all marketing activities including creation of collateral, correspondence with brokers, prospects, and vendors.
  • Draft proposals, track changes, maintain correspondence and leasing files.
  • Assist with a variety of special projects or administrative assignments as needed.
  • Other duties as assigned.
  • Be available for after-hours response as needed.
